We are seeking an experienced Construction Administrator to support the day-to-day operations of our growing company. This is a dynamic role that requires exceptional organisational skills, the ability to multitask in a fast-paced environment, and a strong understanding of construction administration.
Key Responsibilities:
Office & Operations Management: Ensure the smooth running of the office by managing utilities, supplies, orders, emails, phone calls, and office equipment while maintaining a clean and organised workspace.
Project Coordination: Work closely with project managers and staff to oversee project timelines, liaise with clients, and ensure efficient communication between all stakeholders.
Financial Administration: Manage accounts payable and receivable, process invoices, track payments, and maintain strong client relationships.
HR & Compliance: Assist in recruiting, hiring, and onboarding staff, manage employee benefits, and ensure compliance with labour laws and regulations.
Document Management: Prepare and maintain project documentation, including contracts, change orders, and specifications.
Scheduling & Coordination: Arrange appointments, meetings, and travel for the construction team while managing the director's diary and liaising with key contacts.
Stakeholder Liaison: Act as the first point of contact for the company, engaging with residents, external consultants, local authorities, and construction professionals in a professional and courteous manner.
Customer Service & Administration: Answer phones, handle customer and client queries, and ensure all records are accurately maintained within our internal systems (training provided).
Procurement & Logistics: Manage procurement and scheduling of materials, plant, and equipment, ensuring best value, tracking orders, and resolving delivery issues.
Compliance & Reporting: Maintain accurate records of financial transactions, process purchase ledgers, and support regulatory filings such as Companies House documentation.
What We're Looking For:
Experience: administration (builders' merchants or similar experience preferred).
Technical Skills: Proficiency in Microsoft Office (Word, Excel), accounting software, and administrative tools.
Industry Knowledge: Understanding of construction practices and residential development in London (preferred but not essential).
Organisation & Initiative: Ability to work independently, multitask effectively, and proactively manage multiple projects and deadlines.
Communication & Customer Service: Strong interpersonal skills with a professional and friendly approach to engaging with clients, contractors, and team members.
Problem-Solving Attitude: A proactive, can-do mindset with a hunger to learn and grow within the company.
Attention to Detail: Commitment to accuracy in documentation, procurement, and financial management.
Flexibility: Willingness to visit project sites as needed.
