Role Overview



We are looking for a highly organised and detail-oriented Contract Administrator to join our FM Operations team. This role is responsible for supporting the full lifecycle of service delivery across multiple contracts--from initial client call logging through to job completion and close-out.

The Contract Administrator will work closely with engineers, schedulers, and clients to ensure that all administrative aspects of service delivery are handled efficiently, accurately, and in line with contractual obligations. This is a key role in ensuring smooth operations, compliance, and high levels of customer satisfaction.

What you'll do



Key Responsibilities:



Task Management:



Log and process incoming service requests and ensure accurate data entry into the CAFM system. Track and monitor job progress from initiation to completion, ensuring timely updates and closure. Liaise with engineers and schedulers to coordinate works and resolve any administrative issues. Administrative control all associated contractual tasks (PPM, Reactive, Remedial, Quote, etc)

Contract Support:



Maintain accurate records of contract service documentation, KPIs / SLAs, and compliance requirements. Assist Account Leads with reports, audits, and client updates. Ensure all works are completed in accordance with contract terms and client expectations

Client & Stakeholder Communication:



Act as a point of contact for client queries relating to job status, documentation, and service delivery. Provide timely and professional responses to internal and external stakeholders.

Compliance & Documentation:



Ensure all documentation is filed and maintained in line with company and regulatory standards. Support the Service Delivery Manager in ensuring compliance with KPIs, SLAs, and audit requirements.

Continuous Improvement:



Identify and suggest improvements to administrative processes and systems. Support the wider team in delivering a high-quality, client-focused service.

What you'll bring



As a Contract Administrator your main skills and experience will include:

Skills & Experience Required:



Previous experience in a contract administration or service coordination role, ideally within Facilities Management or a technical services environment. Strong administrative and organisational skills with excellent attention to detail. Proficient in Microsoft Office and experience using CAFM or job management systems. Excellent communication and interpersonal skills. Ability to manage multiple tasks and priorities in a fast-paced environment. Understanding of service level agreements (SLAs), key performance indicators (KPIs), and compliance requirements.
