Location:

Cardiff Hybrid - 2 days a week in the Cardiff office and travel to London 2 days a month

The Role




We are looking for a proactive and confident

QRM Admin Assistant

to join our

Quality and Risk Management Team.

You will have

Executive Assistant

or

Personal assistant expertise

with experience of coordinating meetings, minute taking, documentation and liaising with senior stakeholders (C-suite/partner level). Experience in a fast paced, matrix style organisation or in a Financial Services/Professional Services is essential.

Deliverables: Responsibilities but not limited to



Co-ordinate QRM meetings

, a crucial part of our firm's governance.
Collaborate with project leaders and their Executive Assistants to ensure optimal participation.
Provide

proactive administrative support

by managing shared Outlook calendars, ensuring smooth scheduling and minimising conflicts.
Draft and disseminate

clear, concise minutes

and action items from various meetings to ensure effective follow-up and accountability.
Support timely completion of action items by

proactively following up

with stakeholders after meetings.
Administer data in our Deloitte Quality System (DEP) providing clear, articulate, and timely updates to records in the tool.

Support the business

in navigating quality and risk management processes via our mailbox as part of the QRM frontline risk team.
Provide operational support to ad-hoc QRM team activities.

Essential Skills and Experience



An

experienced EA

with strong administration experience scheduling, coordination, minute taking and documentation

Stakeholder management

- experience of collaborating and liaising with senior stakeholders (C-suite/partner level).

Data and analytical skills

- experience with administering data in data systems, gathering data and documentation.

Proactive and organised

- take the lead and chase for follow-ups
Experience in a fast paced, matrix style organisation or

Financial/Professional Services

is essential with the ability to meet KPIs and deadlines
Systems experience of

Teams

and

Outlook

is essential

Desirable:



System knowledge of

Jira, Jupiter

is desirable
