Role Overview



We are seeking a highly organised and proactive

Contract Support Administrator

to support the effective delivery of appointment scheduling and customer service within our Property Services division. Acting as a key link between the Contract Support Officers (CSOs) and the Contract Support Manager, you will provide administrative oversight, support day-to-day operations, and help coordinate team activities.

This is a hands-on role suited to someone who enjoys working in a busy environment, has strong attention to detail, and is passionate about supporting both customers and internal teams to ensure seamless service delivery.

Key Responsibilities



Provide day-to-day administrative support to the Contract Support Manager and CSO team. Monitor team inboxes and scheduling systems to ensure timely response and accurate booking of appointments. Provide Ad-Hoc support to contracts when needed Assist in the coordination and distribution of workload across the CSO team to meet performance targets. Act as a first point of escalation for CSOs regarding complex queries, booking issues, or system problems. Maintain and update client records, job trackers, and internal systems to ensure data accuracy. Help onboard new CSOs by providing training on systems, procedures, and company policies. Liaise with internal departments (e.g. planning, engineers, operations) to ensure appointment availability aligns with workforce capacity. Contribute to process improvements by identifying inefficiencies or recurring issues and escalating them appropriately. Ensure that all customer interactions are handled with professionalism, empathy, and in line with data protection and confidentiality policies. Provide cover for CSOs during periods of high demand or absence, including handling incoming calls and bookings.

Experience & Skills



Essential:



Previous experience in an administrative or coordination role within a customer service or operational environment. Strong IT skills, including proficiency in Microsoft Office (Excel, Outlook, Word) and CRM or scheduling systems. Excellent communication skills - both verbal and written. Strong organisational ability and attention to detail. Ability to prioritise tasks and work under pressure in a fast-paced environment. A team-oriented attitude with the initiative to solve problems and support others.

Desirable:



Experience in social housing, maintenance, or property services sectors. Understanding of appointment booking processes and client interaction workflows. Familiarity with field service management or job scheduling systems.

Other Requirements:



Full UK driving license and access to a vehicle (due to the location of our office and lack of public transport).
Job Types: Full-time, Permanent

Pay: 32,000.00-35,000.00 per year
