Steve Vick International (SVI) is dedicated to delivering cost-saving solutions for damaged, redundant, or outdated pipework. Since its foundation in 1981, SVI has been at the forefront in developing products and techniques for the repair, renovation and decommissioning of pipes. Predominantly our work has been in the gas industry but increasingly we are undertaking projects in the water and nuclear sectors.

Our Contracting Services teams provide on-site solutions to a wide variety of pipe renewal problems. Whilst the majority of our work involves the flow stopping and abandonment of gas mains and services, we also work in the water and civil engineering sectors, sealing off pipes, ducts and unwanted voids. Representing approximately one fifth of SVI as a business, our teams are based in Newcastle, London, West Midlands, Leigh and our HQ in Bradford on Avon, allowing us to offer UK coverage.

The successful Contract Services Administrator will be a great team player with a collaborative approach to work, acting as the first point of contact for contracting calls and enquiries from our contractors and customers and liaising between the internal team and them. This requires a proactive go-getter, with great attention to detail and the ability to learn quickly.

Role Purpose



As an important member of the contract services administration team, you will work alongside other administrators to support the department with all day-to-day administration duties.

You will liaise with contractors and customers and be responsible for booking jobs into the contracting schedule.

You will be solutions orientated and always looking to solve problems efficiently, adapting your interpersonal style to suit different people and situations.

Competencies, Skills and Knowledge



Highly organised and efficient Customer care focused, with an understanding of what great customer service looks like Clear and concise communication skills, both verbal and written Strong teamwork and interpersonal skills Good level of IT skills - strong working knowledge and understanding of Microsoft packages It's helpful but not necessary to have previous experience working in a production/manufacturing business

Key Duties/Responsibilities



Assist in the day-to-day coordination of bookings, informing relevant staff and departments of staff allocation Assist contracting services administrators with the quoting, invoicing and pricing prior to works being carried out Take ownership of provisional and final quoting for grouting projects working with the grouting team and updating grouting tracker Liaise with and assist the grouting team in the planning and organisation of upcoming projects, including coordinating inductions, managing resource allocation, and supporting projects through to successful completion Communicate copies of pre-works procedures to customers e.g. Risk Assessments & Method Statements Chase payment upfront where required for Pro Forma customers Ensure PO's are received prior to works being undertaken Work with Business Development Lead and contract services manager to ensure new customers are set up with an account prior to works being carried out Complete and return sub-contract questionnaires to potential clients Assist the Contracting Services Manager by collating contractors' timesheets to assist accounts with monthly processing in payroll Assist in the administration of collating contractors' expenses via Moss (credit card provider) to assist accounts with month end Ensure any team absences are correctly recorded and communicated to the Contracting Services Manager Assist with the collating and maintaining of data from all contractors and ensure their equipment is recorded and kept up to date Maintain and keep up to date our contractors Health, Safety, Quality and Environment folders Record QP75 Site Audit non-conformances and follow up with corrective actions to the Contracting Services Manager and contractors Collating of department stock takes as/when required Assist in coordinating team stand down days and training events Answer and direct calls, taking messages and ensure prompt responses Welcome and direct any visitors when needed Assist in general administration duties e.g. scanning, filing documents to customers and colleagues
