JOB TITLE

Court Manager

MAIN PURPOSE AND SCOPE OF THE JOB

Responsible for:

All aspects of the day-to-day running of the Court, in particular, supervision of the team of Duty Managers, Housekeeping Assistants who provide personal care and domestic help to Owners, also Cooks, Gardeners and Handymen.

Advertising for and recruiting staff, dealing with all personnel issues arising from the management of the team of staff in consultation with the Services Manager.

Ensuring that the buildings and services are maintained in good order and that the statutory health & safety testing is carried out cyclically.

Providing assistance/personal care to Owners in an emergency situation.

Understanding the needs of older people to ensure continued independence and an optimum quality of life for all Owners. The Manager is expected to use imagination, skill and sensitivity to identify problems before they occur and take steps to avoid them (taking a pro-active rather than re-active role in the management and development of the Court).

Delivering excellent customer service to all Owners and 'customers' in line with company standards providing a positive 'can do' attitude at all times.

POSITION IN ORGANISATION

Employed by: Oaktree Court Court Limited

Reporting to: Services Manager (Retirement Security Ltd)

in consultation with the Board of Directors of the Owners Company.

Responsible for: All Court Staff

DUTIES AND KEY RESPONSIBILITIES

Supervising and deploying all Court staff in accordance with the authorised budget.

Reviewing performance of staff through regular one-to-one supervision and annual appraisal.

Liaising with contracted services such as gardeners, window cleaners and general maintenance contractors and negotiating contracts to obtain best value.

Keeping accounts of payments received and expenditure incurred (ensuring that all money payable for services provided is received and properly accounted for).

Producing quarterly court accounts for the Court Accountant.

Dealing with all building issues in consultation with the Court Surveyor

Managing Health and Safety at the Court.

Dealing with and assisting Owners with insurance claims.

Efficient administration in accordance with all company policies and procedures.

Facilitating the resale of vacant properties, completion of the required forms, dealing with Solicitors, Estate Agents and Owners' families/next of kin to ensure a smooth transaction.

Assisting Owners and potential Owners with applications for welfare benefits.

Attending regular board meetings with the Directors and Services Manager, producing reports to be included in the meeting.

Promoting the Court's catering facilities, ensuring that high standards of service, presentation and value for money are always maintained in discussion with the Duty Managers and the Cooks.

Facilitating social events and activities that the Owners wish to organise (using imagination and initiative).

Liaising with health care professionals such as community nurses, community psychiatric nurses, podiatrists, Social Services and GP's.

Ensuring appropriate relationships between staff and Owners are maintained at all times.

Resolving the problems of individual Owners.

Providing excellent customer service to all Owners in line with company standards and provide a positive 'can do' attitude at all times.

Taking responsibility for your own personal development and training along with all members of Court staff (mandatory and professional) in line with the needs of the business.

Undertaking such other duties as may be reasonably expected.

The above is not an exhaustive list of duties and the Court Manager will be expected to perform different tasks as necessitated by his/her changing role within the Company and the overall business objectives.
