The Creative Learning department at The Place provides a high-quality and dynamic programme of dance to promote creativity and well-being in schools and local communities in Camden. This post holder will support the Creative Learning team with administration, data management and reporting, internal procedures and operations, and a busy programme of events and activities.
The Creative Learning programme focusses mainly on activity taking place in our local borough, Camden.
The majority of the activity happens during school term times and can also include evening and weekend work and features busy periods around projects, performances and events throughout the year. Our main activities are:

• Partner Schools Programme (Camden-based).

• Community Engagement and Projects (Camden-based).

• Annual Schools Festivals and Youth Dance Platform (Camden and London-wide).

• Contextual Events for performances in the Theatre (Internal activity).

• School workshops & visits to The Place (London and the South East mainly).

• Coordinating and co-leading the facilitation for our Youth Focus Group.

JOB OVERVIEW
This post holder will work closely with the Creative Learning Producer and Assistant Manager, to ensure that the department operates effectively according to The Place policies, systems, and procedures, and ensures compliance in the following areas: * Operations and Administration including Data Management.

• Finance (checking Management Accounts where appropriate).
• HR (Contracts and Payroll).

They will provide support to the Creative Learning Team focused on our work in schools, in our local community, events for young people in our building, as well as assisting with the coordination of contextual events in the theatre.
This post holder will be responsible for:

• Supporting general administration and coordinating delivery across all programme activity including a busy schools' programme, key events, and community outreach.
• Supporting the programme management (including recruitment and contracting, finance, and evaluation).
• Supporting communications in partnership with the Communications Team.
• Deputising for the Creative Learning Assistant Manager when required, including as a Deputy Safeguarding Officer (training will be provided).

SALARY & CONTRACT TERMS
SALARY
The full-time equivalent salary for this position is 31,214 per annum, equating to a salary of 15,607 per annum for this part-time role.
Salaries are reviewed in August each year when any cost-of-living increases are made. No salary changes are made until after successful completion of a probationary period.
CONTRACT TERMS
This is an open-ended permanent contract. This is a part-time position (equivalent to 20 hours per week). These hours are inclusive of a one-hour paid lunch break each day. Your hours of work will be agreed with the line manager.
Whilst in the six-month probationary period the notice period will be two weeks. Once this period is successfully completed the post holder will be confirmed in the post and the notice period will be six weeks.

PERSON SPECIFICATION
ESSENTIAL CRITERIA
KNOWLEDGE

• Familiarity with GDPR and Data Protection regulations.

SKILLS

• Good numeracy skills and an understanding of financial systems.
• Outstanding organisational skills.
• Aptitude for building and developing administrative systems.
• Strong IT skills, with proficiency in Microsoft Office 365, databases, and online systems.

EXPERIENCE AND QUALIFICATIONS

• Experience working in an administrative role.
• Experience of data management.

ATTRIBUTES AND PERSONAL CHARACTERISTICS

• Ability to effectively communicate with individuals at all levels.

DESIRABLE CRITERIA
KNOWLEDGE

• Knowledge of the dance sector and dance organisations.

EXPERIENCE AND QUALIFICATIONS

• Experience evaluating and reporting on arts projects.
• Experience supporting productions and events in various settings (e.g. theatres, studios, outdoor spaces, etc.).
• Experience facilitating discussions/feedback sessions with young people.
• Some experience of safeguarding within arts venues, schools, and/or community settings.

KEY RESPONSIBILITIES
OPERATIONS AND ADMINISTRATION (INCLUDING DATA MANAGEMENT)

• Be responsible for developing administrative systems which help improve efficiencies in relation to our evaluation framework and processes.
• Deal with general enquiries and the correspondence related to Creative Learning.
• Alongside the Creative Learning Team, liaise and brief the Visitor Services Team to ensure all Creative Learning activities operate efficiently and effectively with opening hours and catering services.
• Act as minute-taker for Creative Learning team meetings.
• Work with the Creative Learning Team, Executive Producer, Development Team, and the Head of Widening Participation and Student Recruitment to collate data in support of profiling the impact of our work in schools and communities, building the case for support for funding and to improve outreach and access of opportunities.
• Ensure all data is stored and, where required, archived or deleted in line with GDPR and other data protection regulations.
• Prepare evaluation surveys with the Creative Learning Programme as required, in conjunction with our external evaluation service provider.
• Support any data-led projects such as the development of a shared database across multiple departments featuring profiles and information of up-to-date casual teaching staff, musicians, and teaching assistants to improve organisation-wide efficiency whilst ensuring full compliance with policies, procedures and legislation.

SUPPORTING PROGRAMME ACTIVITY

• Alongside the team, plan, coordinate, and support a variety of performances and events that take place in the building (and sometimes offsite).
• Lead on the creation of project schedules and timelines, liaising with internal stakeholders (via Space meetings) to book studios in line with the organisation booking cycles and ensure these are issued in a timely manner to all stakeholders.
• Coordinate with the team to produce risk assessments in relation to key projects and activities.
• Collate all the paperwork needed to be compliant for performances with young people (e.g. photo consent forms and child licensing).
• Organise, with support, at least one Youth Focus Group activity per term. The Youth Focus Group is made up of around 25 young people who are involved with dance programmes at The Place. There is the option for you to co-facilitate these sessions, if you are interested in doing so. This group has been created to provide opportunities for teams at The Place to hear from young voices, and for young people to have a deeper understanding of the work we do at The Place and advocate for dance.

FINANCE ACCOUNTS

• Work with the Creative Learning Producer to track expenditure and income, where relevant, to reconcile Management Accounts on a monthly basis in accordance with the Creative Learning budget.
• Work with the Creative Learning Producer, Assistant Manager, and Finance Team to support the preparation of documents for any funding reports.
• Process and produce invoices ensuring all are recorded and processed correctly.

HR (INCLUDING CONTRACTS AND PAYROLL)

• As requested by the Creative Learning Team and in partnership with the HR Team, draft and issue relevant contracts via Xodosign (our online digital signature platform) for Creative Learning hourly-paid teachers, musicians and teaching assistants (Deputy Artists and Trainees) in line with The Place's policies and procedures.

• Work with the Creative Learning team to ensure full adherence to The Place's Disclosure and Barring Service (DBS) and Safeguarding Policies.
• Work closely with the HR Officer to ensure the correct onboarding of new staff, the processing of DBS checks, and the continuing professional development of existing staff.
• Compile the monthly payroll submission from timesheets for authorisation by the Creative Learning Team and ensure that payroll is informed of staff resignations and leavers from the Creative Learning Team in a timely manner.
• In conjunction with the Creative Learning team, source cover for teachers, musicians and teaching assistants.

CROSS-ORGANISATIONAL MEETINGS
One member of the Creative Learning Team should be present during specified cross-organisational meetings. This post holder may be asked to attend some of the following meetings when required:

• CAT (Centre for Advanced Training) and Classes & Courses joint meetings.
• Public Programmes Team meetings.
• Education & Participants meetings.
• Space meetings.
• All Staff Meetings.
• Programming & Production meetings.

OTHER DUTIES

• Evening and weekend activities in support of the programme as required.
• Any other duties as may be reasonably required by The Place.
