-- providing high-level administrative, operational, and creative marketing support.
The purpose of this role is to
halve Grace's admin load
, organise the backend of the businesses, manage projects, support launches, create marketing materials, and contribute to income generation through strategic content, email campaigns, and operational improvements.
This role requires someone who is proactive, creative, organised, confident questioning ideas, and committed to helping move the businesses forward.
POSITION OVERVIEW (Summary)
This is a dynamic hybrid role combining:

Manage emails across all businesses (filter, prioritise, reply, escalate)
Diary management for Grace -- scheduling, planning, and reminders
Take clear minutes during meetings and follow up with actions
Manage documents, files, systems, and cloud storage
Create, maintain, and improve business processes & SOPs
Oversee course admin: queries, bookings, forms, confirmations
Assist with contracts, agreements, onboarding documentation
Project manage business tasks and ensure deadlines are met
Coordinate team communications and updates
Prepare reports, trackers, and weekly updates for Grace
2. MARKETING & CREATIVE SUPPORT
Support content planning for Instagram & TikTok across all brands
Create visuals, graphics, carousels, and promo materials
Help schedule or publish content using social media planning tools
Create marketing campaigns for courses, offers, and launches
Assist with video editing (basic level is fine)
Build email newsletters and marketing sequences (Mailchimp)
Help maintain and update website content
Support brand consistency across all channels
Create promotional PDF documents, guides, and resources
3. BUSINESS GROWTH & INCOME GENERATION
Support the promotion and sales of training courses
Assist with digital product creation for Grace's personal brand
Help build and manage email funnels
Identify opportunities for partnerships and collaborations
Support retail promotions, gift card campaigns, seasonal offers
Track and report on marketing performance & revenue indicators
Spot gaps, quiet periods, and opportunities, and propose ideas
Help plan and execute course launches, offers, and events
Assist Grace with planning and implementing new income streams
4. PERSONAL BRAND SUPPORT (@okcureme.grace)
Help Grace build a scalable personal brand
Repurpose content (turn voice notes, videos, or notes into posts)
Create digital products, resources, and templates
Manage simple admin for mentoring bookings or sessions
Assist with podcast applications, PR opportunities, or collaborations
Help plan launches and campaigns for the personal brand
Keep content organised and aligned with brand goals
5. DESIGN & CREATIVE OPERATIONS
Create on-brand design assets through Canva
Help develop templates for social media, emails, guides, and courses
Support in building branded documents and slide decks
Assist with course manuals, cover designs, certificates, etc.
Ensure all visual output matches the brand aesthetic across all businesses
SKILLS & EXPERIENCE REQUIRED
Strong admin & organisational experience
Experience in marketing and content creation
Excellent written English and communication skills
Confident using Canva and basic editing tools
Experience using CRM/booking systems
Capable of managing projects and meeting deadlines
Ability to work independently and proactively
Experience in beauty, creative, coaching, or service-based industries preferred
Tech-savvy and comfortable learning new systems
Able to multitask across three busy businesses
