The Role



We are looking for a

Project Coordinator / Admin

to join our team. This role is crucial in supporting the smooth execution of projects from start to finish. You will work directly under the Creative Project Manager, assisting with daily operations, client communication, and administrative tasks. Your role will ensure that all necessary information is gathered, organised, and passed on to the relevant team members for design and production. You will also be responsible for ensuring all procedures and paperwork are in place for installations and overseeing the post-project phase, ensuring a smooth wrap-up and client follow-up.

Key Responsibilities



Project Coordination:

Assist in overseeing projects from initial client brief to final installation, ensuring seamless communication between clients, suppliers, site managers, and the Because Creative team.

Client & Supplier Management:

Support relationship-building efforts with clients and suppliers by handling correspondence and administrative tasks.

Budgeting & Procurement:

Assist with sourcing and ordering materials, tracking project costs, and ensuring accurate documentation.

Risk & Compliance:

Help prepare risk assessments and method statements, book installation teams, and ensure compliance with site requirements. Assist with suppliers and subcontractors' administrative tasks, such as insurance and filing.

Content & Marketing Support:

Assist with organising social media and website content, coordinate photography at installations, and liaise with clients for additional photos/videos.

Office Administration:

Help manage general office administration, including record-keeping, scheduling, and ensuring smooth day-to-day operations.

Post-Project Management & Wind Down:

Oversee the final phase of projects, ensuring all deliverables are met, gathering client feedback, processing any necessary post-install documentation, and ensuring proper project closure.

Tidying:

Keeping the office areas tidy and organised. Assisting with organising company receipts and purchases. Helping to develop structures within the business to help with the smooth running of the projects. Assisting with the company's Health and safety procedures

Skills & ExperienceEssential Skills



Strong organisational and coordination skills. Excellent verbal and written communication skills. Ability to manage multiple tasks and deadlines. Analytical skills with experience in budgeting and cost tracking. Problem-solving abilities and quick thinking under pressure. Proficiency in Excel and administrative tools. Comfortable engaging with clients and suppliers. Attention to detail, particularly when reviewing contracts and documentation.

Desirable Skills



Background in retail, events, TV, film, or a related creative industry. Existing contacts within these industries can help secure new clients. A creative mindset to contribute to content and marketing efforts. Knowledge of accounting software such as Xero, QuickBooks, and FreeAgent.

Location & Travel



This role is based at our Whitsable office and workshop. Travel to project sites and occasional overnight stays may also be necessary. This is not a typical 9-5 role; flexibility is required for early mornings, late nights, and weekends as needed.
