JOB DESCRIPTION: SALES PROCESSING/CUSTOMER SERVICE ASSISTANT
OVERVIEW -
Best4Frames is an internet-based company offering ready-made and custom picture frames as well as mounts and other associated products.
The company is expanding and has identified the need for additional staffing to deal with the processing of orders, as well as dealing with customer queries.
TYPICAL DAY - MAIN DUTIES
Assessing orders that arrive on screen, deciding how they should be fulfilled (via our warehouse or our supplier's warehouse), distributing job sheets to the appropriate departments within the workshop and keeping a close eye on the screens to ensure that no orders are being missed. Ensuring that relevant staff are prioritising orders correctly.
Ordering stock to enable fulfilment of current orders and to replenish warehouse stock to maintain at correct levels.
Liaise by email with our suppliers with regards to orders that they are fulfilling, emailing customers to keep them advised of progress, including any delays in stock availability.
You would have responsibility for investigating problems with failed deliveries to customers and providing prompt answers to resolve any issues.
You would be dealing with email and telephone enquiries of a sales or service nature.
Other duties may include time spent in the workshops, dependent upon work levels on your desk and other departments.
SKILLS REQUIRED -
The successful candidate will prove that they are highly organised and able to manage a busy department.
Excellent keyboard skills are essential. The job is not suitable for candidates who are not able to work quickly and accurately on a busy desk. Much communication is by email and an excellent working knowledge of Outlook is essential.
A good telephone manner is also essential.
Our systems are bespoke and logical and easy to grasp if candidates have the above skills.
A good command of spelling and grammar is required to create a good impression when emailing and communicating by telephone.
A brief test would be undertaken as part of the interview process.
Candidates must have ability and experience in managing a busy desk to include keeping control of enquiries and queries that are in hand. They must be able to keep track of many such queries at any one time.
Candidates must have the ability to deal with customers diplomatically and empathetically. The ideal candidate would be able to "tune into" customers and help them appropriately.
The company has a high score with Reviews.io - an essential measure to gain new customers.
You would have responsibility for maintaining this high score, as do all our team.
OTHER SKILLS REQUIRED
Good understanding and experience of using Excel, and Word.
QUALIFICATIONS REQUIRED.
GCSE Maths and English Grades A-C
