We are seeking an experienced and highly organised Dental Practice Manager to provide structured, reliable, and consistent support across the operational, HR, and project management needs of the practice.
Working directly with the Clinical Director, this role plays a key part in enabling the leadership team to focus on patient care, clinical excellence, and strategic growth by ensuring that operational and people-related processes run smoothly and effectively.
The successful candidate will be central in helping nurture a positive, engaged team culture, supporting the well-being and professional development of the practice team while managing the practical and regulatory aspects of HR.
Key Responsibilities
Operational Practice Management
Oversee the day-to-day operational running of the practice, ensuring seamless patient care, team coordination, and compliance.
Develop, document, and maintain clear operational systems and workflows that support efficiency and service excellence.
Proactively identify operational improvements and resolve issues as they arise.
Project and Task Coordination
Support the delivery of new services, business initiatives, and improvement projects.
Maintain oversight of action plans, responsibilities, and key timelines.
Drive forward follow-ups from meetings and project discussions to maintain momentum.
Team Coordination, HR Leadership, and People Support
Lead on core HR functions, ensuring a consistent, fair, and legally compliant approach.
Coordinate recruitment processes, from job advertising through to selection and onboarding.
Design and implement thorough staff induction processes to support effective integration and role clarity.
Oversee and facilitate performance management processes, including:
? Regular welfare meetings, appraisals, and capability reviews.
? Management of capability meetings, supporting both development and accountability.
Lead on disciplinary processes, including formal hearings, grievance management, and conflict resolution.
Handle dismissals where necessary, ensuring policy adherence, fairness, and professional integrity.
Act as a supportive and approachable first point of contact for team concerns and well-being.
Contribute to maintaining and strengthening a positive team culture aligned with the values of Mumbles Dental House.
Collaborate with the Clinical Director on leadership approaches that nurture staff engagement, development, and retention.
Diary, Meeting, and Scheduling Support
Provide effective scheduling for key meetings, workshops, and clinical sessions.
Ensure agendas are clear, meetings are productive, and follow-up actions are documented and actioned.
Support diary management to help balance clinical commitments with leadership and operational responsibilities.
Financial Administration
Support operational financial tasks including invoice management, supplier payments, and financial tracking.
Liaise with the bookkeeper or accountant to ensure timely and accurate financial processes.
Compliance and Documentation Management
Maintain up-to-date policies, regulatory documents, and operational records.
Ensure readiness for inspections, audits, and compliance checks, with well-organised documentation systems.
Skills and Experience
Proven experience in dental practice management, healthcare administration, or similar operational leadership roles.
Solid understanding of HR best practices, including recruitment, onboarding, performance management, disciplinary and grievance procedures, and employee relations.
Experience handling capability issues, formal meetings, dismissals, and conflict resolution with professionalism and fairness.
Strong organisational skills with excellent attention to detail.
Skilled at managing multiple work streams while maintaining focus on priorities and outcomes.
Confident using practice management software (SOE/Exact) and digital collaboration tools (Google Workspace, Slack, Whatsapp business, etc.).
Clear, empathetic communicator, able to handle sensitive conversations and maintain discretion.
Calm, reliable, and proactive, with a consistent follow-through approach.

The role offers flexibility and can be structured as either full-time or part-time depending on the experience, capacity, and availability of the successful candidate.

An attractive salary of between 34,000 to 40,000 pro rota dependent on experience pro rata
