Receptionist , New patient and Treatment Coordinator, Social media manager

to join our dental team.

As our practice grows we are looking to expand our team to provide a better service to our patients.

This role is pivotal in ensuring an outstanding patient experience from the first point of contact through to the completion of treatment. The ideal candidate will be confident both in front-desk reception duties and in guiding patients through their treatment journeys, whether in-person or via virtual consultations. They will be in charge of ensuring the smooth patient journeys and coordination between patients, clinicians and reception. Being able to understand the business and growth opportunities is essential, and a willingness to learn and manage time in line with business. You will have the opportunity to work with autonomy and really take on this role with new ideas and a supportive team. It is essential you are personable and open to learning new skills, including communication and sales techniques, and understanding that our team provides excellent care, and we want patients to choose us because of quality.

We are looking for the right candidate for this crucial role and are willing to wait for the right person. Remuneration will be based on experience, growth and KPI's being met

Key Responsibilities: Reception Duties:



Greet patients warmly and professionally, both in person and over the phone. Manage appointment bookings, recalls, cancellations, and confirmations. Handle patient enquiries efficiently and empathetically. Process payments and manage financial transactions. Maintain accurate patient records and manage compliance-related documentation (GDPR, NHS/Private requirements, etc.). Keep the reception area clean, welcoming, and organised.
It is important to understand reception and how it works in order to identify patient needs and existing processes. This will allow the employee to also work better with the rest of the team and work on improvements.

Treatment Coordination:



Conduct in-person and online consultations with new and existing patients. Explain treatment plans clearly, addressing concerns and outlining options, timelines, and costs. Liaise with clinicians to ensure smooth scheduling and coordination of treatments. Follow up with patients post-consultation to encourage treatment acceptance. Maintain detailed treatment notes and communication logs. Explain financial options to patients and ensure that payments are taken correctly Look at ways to improve diary efficiency and improve patient conversions to treatments

Practice Growth & Marketing:



Assist in the development and execution of patient engagement strategies. Manage and schedule content across the practice's social media platforms (e.g., Instagram, Facebook, TikTok). Respond to online enquiries and comments professionally and promptly. Contribute ideas and campaigns for promoting treatments and seasonal offers. Monitor and report on marketing performance metrics (e.g., engagement, new patient leads). Social media management - understand and implement social media with the rest of the team, use time to ensure posts and stories are carried out weekly with a plan in place to encourage engagement

Administration & Time Management:



Prioritise and manage multiple administrative tasks efficiently. Coordinate with suppliers, labs, and other external partners. Support the practice manager with audits, compliance reports, and daily operations. Identify areas for improvement and contribute to streamlining workflows.

Person Specification: Essential:



Previous experience in a dental, medical, or similar patient-facing environment. Exceptional communication and interpersonal skills. Confident in using dental software (e.g., SOE, Dentally, Exact, or similar). Excellent time management and multitasking abilities. Strong attention to detail and organisational skills. Able to maintain confidentiality and professionalism at all times. Confident with conducting consultations both in person and online (Zoom, Teams, etc.). Proactive and willingness to work with the team Experience with social media content planning and posting.

Desirable:



Experience in treatment coordination and/or sales. Familiarity with dental terminology and procedures. If you have a clinical background this would be advantageous Understanding of GDPR, CQC, and NHS/private compliance. Knowledge of Canva, Hootsuite, or other social media/content tools.

Hours- We can be flexible with this, however 1 Saturday a month will be required
