Key Responsibilities:
Patient Experience & Schedule Management:
v Manage patient appointments efficiently, ensuring smooth clinician schedules and managing patient flow.
v Handle all patient interactions professionally, whether in-person, over the phone, or via digital channels like email and WhatsApp.
v Record arrivals and manage appointments in the computer system while adhering to practice policies.
v Liaise with clinicians and inform patients of any delays, ensuring they are updated on their appointment status.
Lead Conversion:
v Handle inbound emails, phone calls, and business WhatsApp enquiries, converting them into appointments through effective communication and relationship-building.
v Proactively connect with prospective patients, helping them schedule consultations and achieve their ideal treatment outcomes.
Sales & Product Promotion:
v Confidently promote and sell dental products, explaining their benefits to patients and providing tailored recommendations based on clinical staff advice.
v Encourage and manage prompt payments, collecting patient charges and recording receipts in line with practice policies.
Social Media Engagement:
v Act as an ambassador for Billericay Dental Care by contributing to our active presence on social media platforms like Instagram and TikTok.
v Assist in creating engaging content, including patient success stories and team videos, to showcase our services and promote the practice.
Technology Use:
v Use modern dental software and devices such as iPads to manage day-to-day tasks, including appointments, patient records, and digital communication.
v Assist with Clinipad use for patient information entry and checks.
Patient Journey Support:
v Guide patients throughout their treatment journey, offering expert knowledge and addressing any questions or concerns with care.
v Ensure patients or their representatives sign treatment estimates and NHS forms, ensuring all necessary documentation is complete.
v Register new patients and follow up on treatment plans and referrals, providing support to the clinical team.
Administrative Support:
v Assist with daily administrative tasks such as printing day lists, preparing fire lists, and updating records.
v Handle complaints following the practice's Complaints Procedure, maintaining professionalism and providing resolutions.
v Schedule appointments in person or via phone, ensuring adherence to practice policies.
Office & Health and Safety Maintenance:
v Tidy and maintain the reception, kitchen, and bathroom areas, ensuring they are clean and presentable.
v Comply with the practice's Health and Safety policies, including undergoing regular training in medical emergencies and CPR.
Team Leadership & Practice Culture:
v Lead by example, embodying the practice's vision, mission, and core values in all interactions and responsibilities.
v Participate in team meetings, creating presentations as required, and contributing ideas for improving patient care and practice operations.
v Continuously develop your skills through ongoing training opportunities.
Skills & Qualifications:
v GCSE Maths & English (C grade or above).
v Strong communication and interpersonal skills, with a customer service and sales-oriented mindset.
v Confidence using modern technology, including dental software and social media platforms like Instagram and TikTok.
v Ability to multitask, prioritize, and maintain high attention to detail in a busy, fast-paced environment.
v A proactive and positive attitude with a commitment to continuous learning and development.
