About the role:



As Deputy Operations Manager you will support the Operations Manager and Head of Operations with the day-to-day delivery of operational activities across London Women's Clinic and the other brands within JD Healthcare. The role helps to ensure that processes run smoothly, staff are supported and well trained, and patients receive exceptional service throughout their treatment.

Key Responsibilities:

Operational Support

Provide day-to-day support for colleagues on clinic systems and the Electronic Medical Record (EMR). Act as a key point of contact for system-related queries and escalate as needed. Maintain oversight of recurring operational issues and suggest process improvements. Support the Operations Manager with daily operations and deputise in their absence. Assist with clinic scheduling, resource allocation, and capacity planning. Contribute to ad hoc tasks and clinic-wide projects.

Processes and Projects

Assist with implementing new processes, workflows, and system changes. Maintain up-to-date system settings and internal records. Support testing and rollout of new procedures and tools. Coordinate cross-departmental workflows to improve efficiency and patient experience. Serve as a system super user, offering expert support across teams.

Training

Deliver systems training to staff across clinic sites and departments. Develop and maintain user guides and training materials. Ensure documentation is accurate, up to date, and aligned with branding. Communicate process and system changes effectively across departments.

Patient Experience & Feedback

Coordinate collection and analysis of patient feedback via regular surveys. Docusign Identify patterns and report insights to the Operations Manager and Patient Experience Manager. Support implementation of feedback-driven improvements. Suggest enhancements to patient pathways and internal processes.

Person Specification:



Strong organisational and time-management skills. Excellent interpersonal and communication abilities. High attention to detail and problem-solving mindset. Proficient in using EMR systems and general IT tools (e.g. Microsoft Office Suite). Ability to work independently and as part of a team. Comfortable training and presenting to groups. Analytical mindset with a focus on process improvement. Empathy and sensitivity in a patient-centred environment.

Knowledge/Skills/Experience:



Previous experience in a healthcare, clinical, or fertility clinic setting (highly desirable). Experience supporting operations, systems, or administrative processes. Prior involvement in training, onboarding, or documentation creation. Exposure to project coordination or implementation of systems/processes.

Qualifications/Skills:



Bachelor's degree or equivalent experience in healthcare administration, business operations, or a related field (preferred). Certification or training in healthcare systems or EMR (desirable but not essential)
