We are seeking a meticulous and organised Document Controller to join our team. The successful candidate will be responsible for managing, maintaining and organising all project documentation, to ensure all requirements are completed on time and to the right quality.
Principal Duties:
Document management: managing documents within business Enterprise Resource Planning (ERP) system
Review and entry of sales handover documents into business ERP system, ensuring documents are named and numbered correctly and linked to the appropriate items.
Entry and revision management of customer specifications in the customer specification library.
Review of sales orders to identify and verify the documentation requirements.
Review sales quotations to support costing of documentation scopes, preparing quotation document registers
Create and maintain customer and supplier document registers
Maintaining the master document register and document trackers
Collate internal and supplier documentation to customer requirements, preparing project specific front sheets and transmittals as required.
Compile and issue the final documentation package(s), arranging inspections where required
Update of visual management / digital information boards as required
Document distribution: managing the distribution of documentation ensuring delivery deadlines are met
Review of sales order handover documents
Manage document distribution workflows / communications to relevant internal departments
Manage receipt and update of supplier documentation
Manage submission and return of customer documentation
Liaise with internal departments to ensure amendments to documents are carried out efficiently and effectively, and progressing the change management system
Main point of contact with external customers for documentation matters - Liaise with external customers to manage documentation requirements post order award

Qualifications & Skills:
Minimum of 5 x level 5 / Grade C or above at GCSE including Maths and English.
Proven experience as a Document Controller or in a similar administrative role.
Strong organisational and time management skills with a keen eye for detail.
Proficient in document management software and Microsoft Office Suite (Word, Excel, PowerPoint).
Negotiation Skills: Essential - Primary point of contact with customers for documentation submissions and amendments.
Presentation: Personal and professional presentation essential for internal and customer meetings. Ability to present information effectively and concisely to management and to external customers
Knowledge of INFOR ERP software preferred.
Excellent communication skills, both written and verbal.
Ability to work independently as well as part of a team.
Familiarity with industry standards related to document control is advantageous.
A proactive approach to problem-solving with strong analytical skills.
Contract - 6 months Fixed Term Contract, Full Tim
Hours - 37 hours per week, Monday - Friday, flexitime. (Standard hours Monday to Thursday 08:15 - 5:00 pm (45 mins unpaid lunch), Friday 08:15 - 13:15 (no lunch)).
