The Role:


We are seeking a dynamic and highly organised individual to join our growing team as a Duty Manager and Event Planner. This dual role is crucial to the smooth operation of our diverse offerings and the successful execution of our wide range of events, from intimate gatherings to larger celebrations and corporate functions. You will be a key player in ensuring exceptional customer experiences, maintaining operational excellence, and bringing our clients' event visions to life.

Key Responsibilities:



As Duty Manager (approximately 60% of role):



Operational Oversight:

Oversee the daily operations of all Kingdom facilities, ensuring smooth running, efficiency, and adherence to high standards of cleanliness and presentation across the cafe, yoga studio, sauna, event spaces, and other areas. Act as the primary point of contact for all on-site operational matters, including customer service, staff support, and troubleshooting during shifts. Ensure all areas are set up, maintained, and packed down according to operational requirements and event schedules. Monitor and manage stock levels for various departments, supporting ordering and inventory control.

Customer Service Excellence:

Provide an exceptional level of customer service, proactively addressing enquiries, resolving issues, and ensuring a welcoming and positive experience for all visitors. Handle customer feedback and complaints efficiently and professionally, escalating to senior management when necessary.

Team Leadership & Support:

Supervise and support on-duty staff across different departments, providing guidance, motivation, and ensuring adherence to company policies and procedures. Assist with staff training and induction as required. Foster a positive and collaborative working environment.

Health, Safety & Security:

Ensure strict adherence to all health, safety, and hygiene regulations across all Kingdom operations. Conduct regular checks to ensure the security of the premises and the safety of staff and visitors. Act as a First Aider if required (training provided). Manage emergency procedures and response.

Reporting:

Complete accurate shift reports, detailing operational issues, incidents, customer feedback, and key performance indicators. Communicate effectively with other Duty Managers and the wider management team.

As Event Planner (approximately 40% of role):



Client Liaison & Event Conception:

Work closely with clients (both internal and external) to understand their event vision, needs, and objectives for weddings, corporate events, private parties, workshops, and other bookings. Develop creative and tailored event proposals, incorporating Kingdom's diverse offerings. Conduct site visits and guide clients through our venue options.

Planning & Coordination:

Manage all aspects of event planning from initial enquiry to post-event follow-up. Coordinate with internal teams (cafe, yoga, sauna, etc.) and external suppliers (caterers, florists, entertainment, AV) to ensure seamless event delivery. Develop detailed event timelines, floor plans, and production schedules. Manage event budgets, track expenses, and process invoices. Obtain necessary permits and ensure compliance with all regulations.

On-the-Day Execution:

Oversee event setup, execution, and breakdown, ensuring all elements are delivered to the highest standard. Act as the primary point of contact for clients and suppliers on event days, proactively resolving any issues. Manage event staff and volunteers as needed to ensure smooth operations.

Sales & Promotion:

Actively promote Kingdom's event spaces and services to potential clients. Contribute to marketing initiatives for events where appropriate.

Skills & Experience:



Proven experience (at least 2-3 years) in a supervisory or duty management role within hospitality, events, or a multi-faceted venue. Demonstrable experience in event planning and coordination, ideally within a unique or varied venue. Excellent communication skills, both written and verbal, with the ability to build rapport with clients, colleagues, and suppliers. Strong organisational and time management skills, with the ability to manage multiple priorities and work under pressure. A proactive and problem-solving approach, with a keen eye for detail. Ability to lead, motivate, and work effectively as part of a team. Flexibility to work evenings, weekends, and public holidays as per the demands of the business and event schedule. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with learning new booking/event management software. Knowledge of health and safety regulations relevant to hospitality and events. A genuine passion for health, wellbeing, creativity, and community aligns with Kingdom's ethos.

Desirable (but not essential):



First Aid at Work qualification. Personal Licence holder. Experience with CRM or event management software.
