About the Team




Our internal HR team of 14 people are a key professional support function of the firm. We support the firm throughout the entire employee life cycle, including talent acquisition, on-boarding, talent development, retention, and separation.


The Role



This role provides administrative support across both the Early Careers talent, and Learning and Development functions, supporting the firm's apprenticeship and graduate programmes, including the attraction and recruitment process, working closely with the Early Careers Senior Advisor and Learning and Development Assistant Manager. The role will also assist with the administration of learning and development activities across the firm.





Duties and Responsibilities



Supporting the Early Careers Senior Advisor by providing full administrative support, screening, interview scheduling, and administering assessments. Draft offer documentation and contracts of employment for trainees, and in the absence of the Team Administrator, draft offer documentation and contracts of employment for experienced hires. Manage the academic tracker for all trainees. Manage the Trainee Recruitment inbox and respond to all queries within 48 hours. Support the HR Advisor with administrative tasks relating to all work experience requests, and placements, as well as the completion of appropriate administrative actions to support their on-boarding. Ensure all Early Careers opportunities are advertised on our Careers Website through the ATS, and all other applicable advertising platforms such as Milkround, UCAS, ACCA and ICAEW. Support with the preparation and attendance of careers fairs. Support the Learning & Development Assistant Manager with the administration of the firm's learning and development activities. Ensure the HR System and Student Overview document is kept up to date with exam progress, mock exam results and course bookings for all students. Assist with monitoring the ICAEW online training file. Book students on to courses and circulate study plans to students, managers, and team administrators. Follow up with students who are marked as absent. Assist with updating the student planners with course dates and skills workshop dates. Regularly meet with team representatives and training providers to review key dates, discuss trainee progress and changes. Assist in the preparation and submission of the firm's award entries by gathering data and drafting content. Prepare offer documentation and appropriate paperwork for progression learners. Assist with organising the Student Forum and attending to take minutes. Assist the Senior HR Manager with processing incremental trainee salary increases and exam passes. Assist with co-ordinating the trainee inductions. Maintains up-to-date knowledge of relevant professional qualification standards and apprenticeship requirements. Manage all aspects of L&D programmes and training courses. Support the Senior Talent Manager with administrative tasks relating to manager training and any other learning and development activities.

Skills and experience



5 GCSEs at a minimum of Level 5 (grade C using the old system), including Maths and English Language, or equivalent. 3 A-Levels, with a minimum of 120 UCAS points, or equivalent. Experience of working in a busy environment and to short deadlines. Experience of working in a team environment with shared responsibilities and covering colleagues as necessary. Strong administration skills, excellent accuracy and attention to detail. Excellent organisational skills with the ability to manage own workload. Excellent communication skills, with the ability to communicate effectively with people across different levels. Have a genuine interest in early careers. Intermediate MS Office Suite (Outlook, Word, PowerPoint, SharePoint and Excel). Comfortable working with HR systems and technology, with a proactive attitude toward learning and adapting to new digital tools and platforms to support HR operations efficiently.
