The EASE HR Support Officer is a member of the Education Administration and Student Experience (EASE) programme, which is a change initiative in line with the UCL Strategic Plan 2022-27 aiming to work with each faculty to review and improve their EASE services.



By partnering with colleagues across UCL, the EASE Programme Team collaborates as cross functional teams and includes members from Strategic Change, Continuous Improvement, HR Business Partnering, Finance Business Partnering, and Information Services Division (ISD).


About the role

The HR Officer will play a key role in supporting the delivery of effective HR operations and projects across UCL, with a particular focus on EASE initiatives. Working independently and using initiative, the postholder will lead and manage a range of assigned activities while collaborating closely with key stakeholders across Departments, Faculties and central HR teams.



With a strong understanding of UCL's HR policies, processes and procedures, you will provide high-quality administrative and project support to Faculty HR Business Partners. This includes managing confidential and sensitive HR processes such as organisational change, as well as developing and maintaining HR-related documentation and communications.



You will also contribute to continuous improvement within the HR function by creating templates, drafting standard operating procedures, and ensuring efficient systems for managing information and correspondence.


Key responsibilities include:




Leading and managing assigned activities across multiple EASE projects, working with autonomy and initiative. Providing administrative and coordination support for sensitive and confidential HR processes, including organisational change. Developing and maintaining HR-related templates, standard operating procedures and communications. Managing shared inboxes, responding to and signposting queries, and ensuring timely and professional communication. Organising and supporting meetings -- including preparing agendas, coordinating logistics, drafting reports or presentations, taking minutes, and following up on actions. Conducting research and collating complex information to prepare high-quality reports and presentation materials. Building and maintaining effective relationships with stakeholders across UCL. Maintaining accurate and well-organised electronic records and filing systems. Ensuring confidentiality and data integrity in line with GDPR, the Data Protection Act 2018 and UCL's information governance standards.

Please note, this role is offered on a hybrid working basis and will be based onsite 2-days per week across our Bloomsbury campus and London Kings Cross/St Pancras office.

About you

As an Human Resources professional you have experience managing confidential and sensitive processes with a good understanding of (ideally UCL) HR policies and procedures. You've supported the delivery of HR projects within multi-disciplinary teams and managed multiple change programme initiatives. Additionally you've worked closely with (Faculty) HR People Partners to manage and provide HR administration support within people functions including creating HR related templates, standard operating procedures and circulares HR related communications.



You will also be able to demonstrate the following:


Experience working unsupervised and taking responsibility for meeting targets experience or organising and servicing meetings An ability to understand, interpret and summarise complex information such as guidelines, procedures and rules.
