Admin and Finance Assistant (Term Time Only, School Experience Essential)



ReEngage Northwest Ltd is an alternative provision and wellbeing service supporting children and young people who struggle with attendance, wellbeing and behaviour. We work closely with schools, local authorities and families and provide a structured, supportive environment with clear routines and high expectations.

Contract:

Permanent, term time only

Hours:

32.5 hours per week, Monday to Friday, 8:45am to 4:15pm (1 hour unpaid lunch)

Salary:

21,486 to 23,307 per annum (term time only, paid in 12 equal instalments). FTE equivalent 28,598 to 31,022 (NJC SCP 12 to 17).

About the role

This role is a blend of front office/reception duties, operations coordination and finance administration. You will be the main point of contact for the business, handling day-to-day communication with schools, local authorities, parents and staff, while also keeping our admin systems, timetables, transport logistics and finance processes running smoothly.

You will see students daily and speak with parents and professionals regularly. The successful candidate will be confident, calm, organised and highly reliable, with strong relationship-building skills and excellent attention to detail.

Key responsibilities

Front office, communication and relationships



Act as the main point of contact for ReEngage, handling phone calls, emails and messages from schools, local authorities, parents and staff professionally and promptly. Build positive relationships with stakeholders and ensure communications are clear, timely and appropriately recorded. Welcome visitors and support a positive, organised front-of-house presence. Engage appropriately with children and young people in line with safeguarding expectations.

Operations, timetabling and transport logistics



Manage staff timetables and daily schedules to ensure smooth delivery. Coordinate student pick-ups and transport arrangements, including changes, cancellations and route planning. Maintain accurate registers and operational records, escalating attendance or safeguarding concerns in line with procedure. From time to time, provide student transport as part of operational delivery (subject to appropriate checks, insurance and approval).

Finance administration and billing



Complete daily bank reconciliation and transaction coding using QuickBooks Online. Create, issue and maintain accurate invoices, ensuring correct purchase order references, billing contacts and supporting information. Monitor incoming payments, allocate receipts and keep debtor records up to date in QuickBooks. Operate a structured reminder process for overdue invoices and escalate queries/disputes appropriately. Produce basic finance reports as required (for example, simple income summaries, outstanding invoice lists and cash position updates).

General admin, environment and business support



Support daily student lunches as required, including ordering, heating and serving lunches. Maintain a clean, tidy and professional workspace, including front-of-house areas and administrative zones. Make business purchases, manage deliveries, handle returns and keep records of spend and receipts. Maintain accurate digital filing and document control. Provide general admin support to the Director and leadership team as required.

Marketing and communications support



Provide administrative support to marketing activity, which may include scheduling posts, uploading content and supporting day-to-day social media and communications tasks in line with brand guidelines and agreed approvals.
Essential criteria

Previous experience working in a school setting is essential (for example, school office, reception, attendance, admin, pastoral admin or similar). Proven ability to build relationships and communicate confidently with children, parents and professionals. Strong organisational skills, attention to detail and a track record of reliability. Experience of invoicing, bank reconciliation and/or credit control processes. Strong ICT skills including Microsoft Office or Google Workspace, especially spreadsheets. Ability to manage competing priorities calmly and professionally in a busy environment.
Desirable

QuickBooks Online experience. Experience liaising with local authorities, SEND teams or education commissioners.
