Summary



We're looking for a motivated and organised

Admin and Finance Assistant

to join our friendly team. This role is key to ensuring our nursery operates smoothly both behind the scenes and front-of-house. This role is Monday- Friday working 38.75 hours per week.

Administrative Responsibilities



You'll be the heart of our nursery office, helping everything run efficiently and professionally. Duties include:

Providing general administrative support such as handling phone calls, emails, and correspondence. Maintaining and updating staff and child records securely in line with data protection regulations. Supporting with recruitment, induction, and staff absence records. Organising meetings, staff training days, and taking minutes when needed. Managing supplies of stationery and office consumables. Acting as a friendly and professional first point of contact for parents, carers, visitors, and external professionals. Assisting in maintaining Health and Safety records, including acting as Fire Marshal during drills. Supporting the management team during Ofsted inspections and ensuring all documentation is up to date.

Financial Responsibilities



You'll also play a key role in supporting the nursery's financial operations. Duties include:

Processing bookkeeping and financial records using

QuickBooks

. Reconciling bank accounts and nursery cards, identifying and reporting discrepancies. Preparing financial information for external auditors and assisting with year-end accounts. Supporting the preparation of reports for funders, management, and external agencies. Managing invoicing and fee collection, tracking outstanding balances, and liaising with parents regarding payments. Assisting management with budget monitoring and resource purchasing.

About You



We're looking for someone who is:

Highly organised, accurate, and able to manage multiple tasks effectively. Experienced with administrative and financial systems (

QuickBooks experience is a MUST).

Confident communicating with staff, parents, and external agencies. Professional, approachable, and able to maintain confidentiality at all times. A strong team player who can also work independently and use initiative. Committed to safeguarding and promoting the welfare of children.
Experience in a nursery or school setting is desirable but not essential

Job Type: Full-time

Pay: From 29,157.00 per year
