We are seeking an
EHCP Coordinator
with a strong background in supporting young people and who has experience of managing
EHCP Consultations
and
High Needs Funding.
You will be an experienced EHCP Coordinator who is part of our admissions team as the first point of contact for prospective student consultations. You will know your way around an EHCP and a key part of putting paper into practice for our students' education. You will be working closely with and supported by Senior Management and the Student Coordination Team throughout the process to generate the best possible outcomes for our students.

Job Purpose
The EHCP Coordinator is responsible for being the link between Roots and Shoots and Local Authorities SEND and Finance teams. The EHCP Coordinator ensures that:
Incoming students' needs and abilities match the provision that Roots and Shoots can provide.
Monitoring the provision being provided by Roots and Shoots, ensuring it aligns with the needs contained within each student's EHCP, including after annual or emergency reviews.
Local Authorities are invoiced appropriately for the services provided.
Main Duties
Prospective Student Admissions and EHCP Consultations
Being the main point of contact with Local Authorities for learners with EHCPs. Responsible for:
Receiving formal consultations from local authorities.
Arranging visits and taster sessions for prospective students.
Including handling parent / carer enquiries.
Working with the Student Coordination Team to calculate the correct level of support provided.
Managing the response to formal consultations from Local Authorities within deadlines.
EHCP Coordination
Responsibilities span the full EHCP coordination process during a young person's time at Roots and Shoots, including:
Facilitating new students, kicking off the onboarding process internally.
Ensuring that all statutory education delivery requirements are met by Roots and Shoots.
Ensuring the college's student EHCP Annual Review process is comprehensively followed and including the Teaching Team throughout.
High Needs Funding Support
Acting as the main point of contact with local authorities Funding teams from pre-entry to enrolment and final billing.
Input HN funding data into databases and reporting to senior management.
Developing reports to enable managers to effectively monitor funding data.
Liaise with Local Authorities to ensure that all documentation for funding is completed accurately within deadlines.
Person Specification
A solid understanding of:
SEND legislation
The EHCP process
The SEND Code of Practice
Experience and knowledge of young people with special educational needs and disabilities.
Experience and knowledge of SEND funding and working actively with Local Authority SEND teams in the implementation of High Needs Funding.
At least 3 years of EHCP coordination experience
Experience of taking part in SEND tribunals
Be able to produce high-quality reports and ensure compliance with statutory requirements.
Highly organised, with strong case management skills and capable of handling complex cases.
Degree level education or equivalent relevant experience.
At minimum
: GCSEs at grades A-C in English & Maths or equivalent
A finance qualification is not a requirement for this role.
Excellent written and verbal communication abilities and customer service skills.
Strong IT skills:
Confident working within and creating spreadsheets and documents for internal and external use.
Working logically within a defined workflow.
Experience with the Google Workspace suite of applications is preferred but not essential.
Working knowledge of General Data Protection Regulations and comfortable managing sensitive and confidential information about students.
Have the ability to work proactively and collaboratively with a wide range of colleagues and stakeholders
