The EHCP Coordinator plays a critical role in ensuring that students with Education, Health and Care Plans receive the necessary support to achieve their educational goals. This involves maintaining and updating all EHCP-related documentation, ensuring timely dissemination of information to relevant stakeholders, including staff, local authorities, and parents/carers.
The EHCP Coordinator works closely with the Navigators Education and Assessment teams to implement reasonable adjustments to the students' programme, facilitating progress towards their EHCP outcomes. Additionally, the Coordinator organises half-termly review meetings to monitor learner progress, making necessary changes to support and documentation, as needed.
In addition to administrative responsibilities, the EHCP Coordinator acts as a vital liaison between Navigators and external stakeholders, ensuring that learner needs are effectively communicated and met. This role includes producing high-quality reports that highlight individual learner achievements and personal development, as well as facilitating the sharing of EHCP-related information among staff.
The EHCP Coordinator promotes an inclusive learning environment, champions best practices for supporting students with Special Educational Needs and Disabilities and prioritises learner safety by adhering to safeguarding policies.
Key Responsibilities
EHCP Management and Documentation
Lead and coordinate annual and interim EHCP reviews in line with statutory requirements.
Chair review meetings, ensuring a person-centred approach that includes the voice of the learner, their family, and relevant professionals.
Gather and analyse multi-agency input to evaluate progress against EHCP outcomes and recommend updates or amendments as needed.
Maintain and update all EHCP-related paperwork, ensuring timely dissemination to relevant staff, local authorities, virtual schools, and parents/carers. Work closely with the Navigators Education and Assessment teams, to ensure learner needs are accurately identified and reasonable adjustments are made to their programmes.
Organise and conduct half-termly review meetings for students with EHCPs, to monitor progress towards EHCP outcomes and end goals, adjusting support and documentation, as necessary.
Learner Progress and Outcomes
Monitor and support students to achieve the best possible progress toward their EHCP targets and end goals, through targeted interventions and ongoing evaluation.
Provide training for staff on effective target setting. Monitoring and quality assuring these targets.
Provide advice and collaborate with Team Leaders/mentors to share effective strategies, resources, and communication methods for meeting individual learner needs.
When concerns about learner progress arise, implement interventions and support for Team Leaders/mentors.
Reporting and Communication
Attend Personal Education Plan (PEP) meetings for students with EHCPs who are in care, ensuring the college's input is accurately represented.
Collaborate with Virtual School Heads, social workers, and other professionals to contribute to the holistic planning and review of the learner's educational progress.
Prepare and present detailed reports on EHCP progress, outcomes, and support strategies during PEP meetings.
Ensure that the EHCP objectives are aligned with the targets set in the PEP and that both plans are implemented cohesively.
Monitor and track the implementation of agreed actions from PEP meetings, ensuring timely follow-up and communication with relevant stakeholders.
Maintain accurate and up-to-date records of all PEP meetings, including minutes, action points, and outcomes.
Advocate for the educational needs of looked-after children, ensuring their EHCPs are effectively supporting their academic and personal development.
Staff Coordination and Information Sharing
Share EHCP-related information during staff meetings and coordinate follow-up actions to ensure consistency in support.
Ensure staff are well-informed about EHCP requirements and monitor completion of agreed actions.
Work with the Education team to align the curriculum with the specific needs of students.
Promoting Inclusivity
Champion Navigators as a leading inclusive college setting, fostering confidence among staff, learners, parents/carers, and external stakeholders.
Promote a supportive and inclusive learning environment that recognises and addresses individual learner needs effectively.
Provide guidance and support to mentors on best practises for supporting students with SEND.
Safeguarding
The EHCP Coordinator must prioritise the safety and wellbeing of all learners, ensuring that safeguarding policies and procedures are rigorously followed.
Work closely with the Designated Safeguarding Lead, to identify and act on any concerns related to child protection, including those that may arise during EHCP reviews or communication with external agencies.
Promote a culture of vigilance and proactive safeguarding within the college community, ensuring that all staff understand their responsibilities and statutory obligations.
Maintain confidentiality and professionalism in handling sensitive information about learners and families, ensuring compliance with legal and ethical standards.
Skills and Abilities
In-depth Knowledge of SEND and EHCP Processes
: Comprehensive understanding of the SEND Code of Practice (2015), Education Health and Care Plans, and statutory duties relating to SEND (Equality Act, 2010 and CAFA 2014).

Experience and Qualifications
Essential
Teaching qualification e.g. QTS or PGCE
