Description





The Service Management teams within Engineering provide support and structure to optimise Service Delivery and the services provided to our stakeholders. We do this through setting the 'how we do it' framework, which enables the Engineering trade teams to focus on their roles within the 'what we do' sphere of activity.

The

Engineering Service Support Administrator

will support the smooth and efficient operation of the Service Management operation. This role involves managing routine tasks such as scheduling, document preparation, record-keeping, and communication.###

Key Responsibilities





Alongside the Service Support team, act as a point of contact for Engineering assurance support to the wider business. Full administration of Airport security passes for contractors/new employees/students using the ID gateway system. Support the coordination and implementation of the Engineering departmental policies, procedures, and standards; monitoring these against agreed targets, ensuring they are relevant and proportionate to the operations and functions carried out. Conduct regular reviews of processes and procedures, proposing solutions and supporting the implementation of necessary improvements. Assist with the development and maintenance of the Engineering document management system to ensure optimum usability across the department. Support the on-going coordination of the Engineering health, safety, and risk management system. Be responsible for the organisation and booking of courses as well as the maintenance of training records. Be the lead for the Engineering induction process for all new employees/students joining the engineering department. Support the department to ensure regulatory requirements are complied with, and processes are carried out within recognised and evidenced frameworks. Generate regular reports and metrics related to incident, problem, change, and service request management activities for management and stakeholder review. Assist Engineering colleagues in finance administration including purchase orders and processing invoices. Support Engineering with travel arrangements ensuring value for money is achieved in accordance with relevant policies and procedures. Ensure the Engineering teams are kept informed of corporate initiatives and changes to policies and procedure. To lead on general administration tasks for the department, in support of the Service Support team. Drive continuous improvement initiatives to enhance service quality, efficiency, and customer satisfaction. Support internal and external audits, as needed. Any other reasonable task relevant to the role

Skills, Knowledge and Expertise





A minimum of 5 GCSE's, grade C or above, or equivalent, to include Maths and English Proven administration experience and meticulous attention to detail Confident user of Microsoft applications and Office 365. Excellent command of written English, as well as competent IT skills, with the ability to adapt to new software products as they are introduced. Ability to demonstrate strong organisational and administration skills and have the ability to work to a high level of accuracy. Able to work independently as well as part of a multi-disciplined team, including working successfully to deadlines. Knowledge and an interest in Microsoft PowerBI and/or AI solutions. Successful applicant will need to obtain a Counter Terrorism Clearance (CTC) certificate which we will help you with. Ability to develop strong relationships with both internal and external stakeholders. To have confidence and skill to manage stakeholder complaints and feedback to a satisfactory conclusion. Able to work unsupervised, using own initiative and meeting deadlines as required. Strong planning and organisational skills. Confident in learning new systems and using those systems in support of activities within Engineering and PoJ.
