Role Purpose

The Enquiry Coordinator is the first point of contact for new patients, ensuring every enquiry is managed with professionalism, warmth, and efficiency. This role requires excellent communication skills, strong computer literacy, and the ability to guide patients confidently through the booking process, setting the tone for a premium patient journey.

Key Responsibilities

Manage all incoming enquiries by phone, email, and online platforms with a professional and welcoming approach. Provide clear and accurate information about treatments, services, and consultation processes. Build rapport with prospective patients, ensuring they feel valued and confident in choosing the clinic. Accurately log, update, and track all enquiries and appointments using clinic software and CRM systems. Proactively follow up with new patient enquiries to support conversion into consultations. Maintain excellent organisation and attention to detail in managing diaries, scheduling, and patient records. Collaborate with the wider Patient Experience and Clinical teams to ensure a seamless journey from enquiry to treatment.

Skills & Attributes

Confident, professional, and friendly telephone manner. Strong computer skills, including CRM systems, Microsoft Office, and digital communication tools. Ability to multitask and remain organised in a fast-paced environment. Patient-focused mindset with excellent interpersonal and communication skills. A positive, proactive attitude with a strong sense of accountability. Previous experience in customer service, front-of-house, or patient coordination.
