About The

role



The Helpdesk Officer will provide the first point of contact for all estates maintenance requests, ensuring they are logged accurately, prioritised appropriately, and allocated to the Repairs Technician or contractors. The role will maintain the CAFM system, track job progress, provide updates to staff, and support reporting on service performance.

Main Responsibilities



Act as the first point of contact for all estates maintenance requests, via phone, email, or CAFM system.


Accurately log and categorise jobs, ensuring priority codes and Health & Safety issues are applied correctly.


Allocate work orders to the Repairs Technician, contractors, or site-based staff as directed by the Estates Maintenance Manager.


Monitor progress of maintenance jobs, chasing updates where required, and keeping requestors informed.


Maintain accurate records on the CAFM system, ensuring all jobs are updated and closed when complete.


Assist in scheduling planned preventative maintenance (PPM) tasks, ensuring records are uploaded and tracked.


Produce standard reports from the CAFM system to support monitoring of KPIs, contractor performance and compliance evidence.


Liaise with contractors to arrange site access, ensure permits to work are in place, and manage day-to-day queries.


Provide administrative support to the Maintenance Manager, including invoice checking, purchase orders and correspondence.


Ensure Helpdesk processes are efficient, customer-focused and continuously improved.


Provide excellent customer service to all staff and students when dealing with maintenance requests.


Ensure Helpdesk processes support a safe and functional learning environment.


Escalate any estates-related issues that may present safeguarding or safety concerns for students.

As the successful candidate, you will be offered a salary of between 25,826 - 28,534 per annum based upon a combination of the skills, knowledge and experience that you can bring to the role.
