The project:
Be a part of our group services team that provides support to all businesses across our five global hubs, based in our corporate head office in London, the role will be to support the Mace Fit Out + Retrofit division.
This is for a Office Fit Out role tendering Cat A & B office fit outs in the London and surrounding area. Must have experience of tendering Office fit out over 15m+, managing multiple tenders from cradle to grave.
The Estimator supports the business by delivering tender responses in line with the company's brand, position and processes, assisting to develop those business processes and working with the wider team to sett the commercial win strategy for each tender.
The Estimator has an integral role to Mace Fit Out + Retrofit success on all opportunities. Our success in winning projects depends on the passion to succeed, ingenuity, an enthusiastic approach, good organisation and control of the tendering process with good communication in a concise, clear manner.
The Estimator will ensure they have full knowledge of the opportunity requirements at all stages during the tendering process, coordinating between all parties involved in a bid and manage the process to ensure all elements that are required to complete a robust, competitive diverse commercial offering are ready and available for incorporation by them into the submission by the due date.

The Estimator is also responsible for the management of supply chain/supplier relations, and continual development of these relations with the supply chain to form a strong working database, ensuring with give specific project feedback to subcontractors to improve their return/and price competitiveness.
The Estimator is responsible for attending and assisting in the development of tender workshops with specialist suppliers and subcontractors to formulate a winning edge to the project. The Senior Estimator should continually implement new and revised/ updated preconstruction procedures/processes that are developed/introduced, and continuously develop the preconstruction relationship with delivery teams having and possessing a can-do attitude assisting with these processes where possible.
The Estimator requires a forward-thinking, progressive personal management style passion to succeed and desire to continually hone the winning work process to suit a growing company.
To work seamlessly and proactively with each delivery team across the business, to be able to work on various projects being tendered, leading the estimating and commercial aspect of the submission to deliver a market leading commercial submission.
You'll be responsible for:
Managing required tender workload consisting of three / four tender submissions at various stages of process at any one time - dependent on complexity / size of projects.
Managing the tender process through 'Bid works' aligning comparisons through estimating software (Excel/Causeway).
Detailed and comprehensive review of tender information for distribution/tendering.
Completing tender details summary document as company procedure document requirements.
Completing all required tender / audit documents for distribution to required personnel.
Formulating a headline/overview of the supply chain required for bid list ready for the project start up meeting, prepare a tender strategy document for review with project team.
Attending tender/project start up meeting, giving an overview of project and works required and finalise supply chain bid list with the project team.
Contributing to the completion of the tender bid strategy document during project start up meeting.
Development of a clear winning work strategy for the submission with the commercial manager.
Carrying out an accurate evaluation of the project for works required and for discussion with the appropriate supply chain to assist in gaining comprehensive complete quotations.
Formulating relevant tender documents for distribution to supply chain/ suppliers.
Issuing tender invite / information to the supply chain within 72 hours timeframe from receipt of tender information.
Completing a detailed and comprehensive take-off of works for the distribution to supply chain, to assist with an accurate quantity / cost evaluation of the project.
Attending site visits and mid bid meetings as required.
Attending tender development workshops with selected supply chain partners and or suppliers with the project team.
Preparing and collating RFI's and queries during tender period and for mid bid meetings, and soliciting supply chain/supplier bids.
Formulating and issuing of addendums during tender process for distribution to the supply chain/ suppliers as required.
Investigating and forming supply chain / supplier cost evaluations, and completing a full cost evaluation of the project.
Contributing to a project risk register and opportunity schedule for evaluation with bid team 5 days prior to tender submission.
Reviewing the project risk and opportunity schedule with project team prior to tender adjudication to ensure all risk and opportunity has been assessed and covered/mitigated in relation to the project for presentation at the tender adjudication meeting.
Contributing to a project VE register for evaluation with bid team prior to tender submission.
Formulating draft preliminaries for project team review.
Formulating an accurate cost evaluation of the project in readiness for the tender adjudication.
Completing all documents required for tender pre-settlement adjudication as required.
Forming a net cost tender submission for tender adjudication by the project team and commercial director, incorporating your own view and concept of market gain and opportunity.
Attending tender settlement meeting with required tender information i.e. drawings, sub-contract cost analysis, risk and opportunity schedule, tender settlement, and all required audit paperwork in line with company procedure, formed net cost tender submission, including preliminaries / staff costs for tender adjudication by the project team and required commercial director for sign off of tender.
Completing the final submission documents following any commercial decisions and complete the required tender settlement documents in line with company procedure for sign off / filing.
Following all proposals within 48 hours of submission with a telephone call to project consultant, discuss any further assistance that we can give at this stage and seek relevant feedback in regards to the project submission.

Attending post tender interviews with all required tender/project submission information.
Attending post tender handover meeting with project team with a fully comprehensive handover of tender information, including copy of submitted commercial information, all correspondence received during tender period (e-mails, addendums etc.), tender drawings, tender information/documents and sub-contract quotes received, along with a sub-contract cost comparison, and completed sub-contract quotation project tracker.
Formulating and give constructive feedback to all supply chain assisting with each tender, to develop and maintain a good working relationship with the supply chain to ensure good market pricing.
Formulating and report tender statistics to monthly dashboard for monthly reporting, KPI.
Actively investigating and reviewing new technology available including development of products and or new products available to the industry for consideration to enhance commercial offerings.
Actively investigating and attending events that highlight improvements within the industry sector.
Reviewing and developing required training and personal development in line with appraisals.
Pre-tender
+ Feed intel from client team meetings, discussions with supply chain and review of docs to help set the win strategy. Review current and past projects and produce case studies to aid the coming tender.
+ Discuss bid list with commercial and bid leads. If any "unusual" scope is included interface with supply chain team to determine supply chain (actioned in tender period too).
+ Discuss project with the PQS - coordinate contact strategy with bid team.
Tender actions
+ Review with Design Manager strategy to close out ERs / CDP strategy - do we need external consultants?
+ Prepare for the start up meeting with the above info for discussion with tendering team, assist with commercial elements section in the start up meeting.
+ Agree bid list with estimating team and advise the team on the Mace approval status of trade contractors and what needs to be done to qualify contractors that aren't "approved", also incumbents and strategy for procuring.
+ Assist the team in forming alternate and VE offers.
+ Assist in forming the CPs and reviewing against the priced works to ensure coordination.
+ Price 2 stage projects as much as possible - tender return to include firm (GMP) offer to install and description of inclusion / exclusions, if of interest to client team mobilise with contracts manager a team to design out solution.
+ Contribute to the completion of the tender bid strategy document during the project start up meeting.
+ Contribute to the project risk register.
+ Manage RFI process
+ Assist Commercial Lead capturing the R&D innovation tax credits information.
+ Password protect TSDs and share via server, not email.
+ Complete TSD for settlement.
+ Translate in PQS format for tender return.
+ Agree provisional sums that will be included - reduce to minimum and close out with a contractor proposal if possible. Present in settlement.
+ Agree which tender clarifications should be carried forward to tender return with commercial lead.
+ Assist team with formatting logistics and temporary supplies by sharing expected values and good examples of info needed.
+ Plug post tender adjustments into post tender tab on TSD and review with Commercial lead.
+ Speak to PQS through the tender period and after submission for feedback on the bid.
+ Attend s/c meetings where key risks and opportunities exist. Guide the team to attend the right s/c meetings to get help in writing compliant and alternate offers, solve detailing issues, programme issues and importantly what BD intelligence they have on the project.
+ Tender closure
+ Agree with commercial lead which tender queries need further input to answer.
+ Handover process with commercial lead.
+ Attend post tender interviews as necessary with all required tender/project submission information
+ Attend post tender handover meeting with project team with a fully comprehensive handover of tender information
+ Agree provisional sums that will be included - reduce to minimum and close out with a contractor proposal if possible. Estimator to present in settlement.
+ Lead the commercial strategy and agree which subcontractor prices to go with at tender stage and focus post tender negotiation with these contractors, agreement with Commercial Director if we want to move away from these contractors.
+ Contribute to post tender query process, answering and managing supply chain queries, host review meetings / resettlement. Agree who can answer which queries with bid lead and commercial lead and what input is required to answer.
+ Review further tender exercises agree input required as a bid team.
Supply chain
