Our services include specialist assessments and psychological therapies for children, young people, and adults, tailored to individual needs.

About the Role




We're looking for a strong, organised, and proactive Administrator / Receptionist to help ensure the smooth day-to-day running of our busy therapy centre. You'll be the first point of contact for many clients, both in person and over the phone, so a calm, friendly, and professional manner is key.


In addition to reception duties, you'll take ownership of a range of administrative responsibilities, including diary management, database entry, document handling, and project support. The role also includes keyholder responsibilities and supporting the general upkeep of the Centre.


This is a part-time post, ideal for someone who enjoys working with people and takes pride in maintaining high standards of administration.

Key Responsibilities

Reception and Client Support



Greet clients and visitors and ensure they feel welcome and supported Answer calls and emails promptly and professionally Manage appointment bookings, cancellations, and rescheduling Handle client information with sensitivity and discretion

Administrative Duties



Maintain accurate client records and input data into internal systems Manage practitioners' diaries and co-ordinate schedules Format and proofread documents such as reports, letters, and appointment emails Support internal meetings, training events, and service administration Help with general project and clinical admin tasks as needed Follow confidentiality, safeguarding, and data protection procedures

Facilities and Keyholder Duties



Open and lock up the building, including setting alarms Perform end-of-day checks, ensuring rooms are tidy and stocked Report any health and safety or maintenance issues and follow up where appropriate Carry out or assist with routine safety procedures, including fire checks (training provided) Take responsibility for light housekeeping tasks such as tidying communal areas and running the dishwasher

Finance Support



Take payments by card (in person and over the phone) Handle petty cash securely and liaise with the finance team when necessary

What We're Looking For



Essential:



Proven experience in a busy administrative or reception role Excellent organisational and time management skills Confident and professional communication, both written and verbal Strong attention to detail and ability to manage multiple tasks Proficient in using email, calendars, databases, and Microsoft Office Reliable and responsible - able to work independently and as part of a team Willingness to take on keyholder responsibilities A calm, friendly, and respectful approach when working with clients and colleagues

Desirable:



Experience working in a healthcare, mental health, or not-for-profit setting Knowledge of confidentiality, safeguarding, and GDPR Familiarity with supporting clinical or service-based projects

Job Details



Part-time:

25 hours per week

Working days:

Monday, Tuesday, Wednesday, Friday, and Saturday

Daily hours:

5 hours per day (exact times to be agreed)

Salary:

14,593.04 per annum (pro rata, based on a full-time equivalent of 24,874.50)
