Location:

Hybrid working. Minimum 2 days per week in our central Bristol office.

Salary:

35-40k per annum

Contract:

Part or full-time, 4 or 5 days per week. Some evening and weekend work required. Fixed term - contract ends 14 November 2025.

Must be available and onsite for set up and live event days for WildPhotos (16-17th Oct London), Wildscreen Industry Summit and Panda Awards Ceremony (19-22 Oct). Fixed-term contract.

THE ROLE



We are looking for a dynamic, fearsomely organised individual with a love for delivering exceptional events. The Event Manager will support the delivery of our expanding programme of events this Autumn, centred around the global wildlife film, TV and content genre.

As part of our small but punchy team, you will use your experience to support the end delivery of a series of events this October that are smooth, unique and impactful, delivering an exceptional experience for our community, sponsors and stakeholders. The events, WildPhotos 2025, our new Wildscreen Industry Summit and the Wildscreen Panda Awards Ceremony, are already programmed and venues and key suppliers engaged, this role is focused on ensuring the smooth delivery from an operational and logistical perspective.

This multifaceted role will incorporate elements of hybrid, in-person and online event management, volunteer management, supplier and venue management and programming support. You will lead in all operational and logistical aspects of our events programme. The nature of events is ever evolving and changeable environment so we are looking for someone who is passionate about delivering brilliant, sustainable and impactful events, who is fearsomely organised, motivated, confident, diplomatic, unflappable in communication with our vast amount of delegates, sponsors, venues freelancers, VIPs and stakeholders.

OUR EVENTS



WildPhotos (17 October, British Library, London + online) WildPhotos is a one-day nature photography symposium, created in partnership between Wildscreen and Wildlife Photographer of Year at the Natural History Museum, London. The 2025 edition will take place at the British Library, London, UK, on Friday 17th October. The one-day event will feature a world-class line-up of 15 award-winning nature photographers, sharing the stories, craft and impact behind some of the most recent iconic wildlife photography.

Wildscreen Industry Summit (20-22 October, various venues, Bristol + online) This new 3-day industry event will take place in Bristol and online from 20-22 October. The Summit will bring together the natural world storytelling community to navigate the challenges and opportunities of a content world in flux. This is a 3 day industry summit, focused on a linear talks programme on the 20-21, accompanied by networking, a kit show and socials in the evening. The daytime programme on Wednesday 22 Oct will dedicated to networking and small group workshops. A small number of industry/public screenings will take in the evenings of the 19-21 Oct. Our delegates represent the entire global industry from the most exciting emerging talent to worldleading broadcasters and streaming platforms.

Panda Awards Ceremony (22 October, Bristol Harbour Hotel + online) The Wildscreen Panda Awards, aka the 'Green Oscars', are the most respected and coveted awards in the global wildlife and environmental storytelling genre. For 43 years, the awards have recognised the human endeavour, commitment and unique skill that it takes to tell nature's stories. Nominees and winners are selected by the industry. The winners are announced at the Panda Awards Ceremony which will take place at the Bristol Harbour Hotel on the evening of the 22 October (and live streamed).

MAIN DUTIES AND RESPONSIBILITIES

:

Responsibility for project management and delivery of all operational and logistical aspects of WildPhotos, the Wildscreen Industry Summit and the Wildscreen Panda Awards Ceremony Responsibility for managing event staff, freelancers, production companies, venues and suppliers ensuring all their objectives are met within budget and to a high standard. Management and monitoring of event delivery budgets to ensure events are delivered within budget and delivers excellent ROI. Negotiate contracts and costs to ensure the best possible value. Responsibility for event ticketing, box office and online content delivery platform (Eventive) Sourcing and management of suppliers and venues (key venues and production company contracted), equipment, hospitality, signage and delegate merchandise (badges and lanyards) Responsibility for delegate experience Working with the wider team to ensure sponsor and partner deliverables are met At-event management and scheduling of event volunteers Working closely with the Content Team (Content Producers, Events Assistants and CEO) to support the planning and delivery of the events programme and oversight of team and volunteer schedules. Supporting with team and speaker travel, logistics and expenses Liaising with and supporting the communications and marketing team to promote the events to deliver expected income targets Ensure that appropriate evaluation and monitoring of events takes place including coordination of delegate survey to help prepare external reporting and learnings for future events. Working alongside the CEO, Wildscreen Board and Team to ensure safeguarding policies and practice are implemented and adhered to. Ensuring Wildscreen's commitment to diversity, inclusion and sustainability is considered and integrated across all events Act as an ambassador for Wildscreen, helping to raise the Charity's public and international profile, creating, maintaining effective partnerships and collaborations to further the activities and impact of Wildscreen Providing ad-hoc assistance for Wildscreen's other events and activities as and when required.
The role will require occasional evening and weekend work especially during the event period. Leave (other than the occasional day) will not be granted during the contract. The main WildPhotos and Summit programmes run from 9am - 6pm, with the Panda Awards Ceremony taking place in the evening of the 22 October. During all the events there will be early starts and late finishes.

SKILLS AND EXPERIENCE



Must haves:

At least 3 year's proven experience of managing high value events for c.500+ people across multiple days and event elements Budget management and reporting Strong project management, team working and people skills Experience of online event management and delivery Line management experience Strong knowledge of Microsoft Office programmes particularly Excel, Google Docs, Dropbox, Zoom, Teams The ability to keep track of high volumes of information and correspondence and continually prioritise in a demanding and busy environment An enthusiastic and flexible approach to managing a busy workload, tight deadlines and problem-solving with a willingness to adapt to changing needs Excellent and accurate writing and proofreading skills Excellent personal, written and verbal communication skills, including the ability to communicate and build relationships with a wide range of internal and external contacts at all levels
Nice to have:

Knowledge of Eventive, Asana, Canva, Xero Good understanding of GDPR Knowledge of sustainability and accessibility best practices A good understanding of social, environmental and industry issues
