Event Planner
to join our dedicated team.
Your role in our family:
Respond promptly to all incoming enquiries (phone, email, or via the proactive sales team) for Social Events, Wedding and Corporate events.
Managing corporate, social, and wedding diaries, ensuring rooms are sold to their maximum potential; chasing, confirming, or releasing provisional bookings as per standard procedures.
Meeting clients to discuss arrangements, conduct venue tours, and develop strong working relationships.
Maintaining detailed client records in Opera, including booking history, rates, business type, decision-makers, and contracts, to support sales calls, reporting, and strategic planning.
Identifying opportunities to up-sell hotel facilities and services.
Preparing and submitting reports as requested by the Head of Events.
Conducting social and wedding sales appointments, including evenings and weekends as required.
Ensuring the highest levels of service for all guests and clients to maximise satisfaction and encourage repeat business.
Coordinating event logistics, preparing accurate function sheets, and ensuring all departments have timely and clear information for smooth event delivery.
Participating in weekly Operations Meetings and following up on agenda points.
Using creativity to provide clients with innovative solutions and add value through expertise in event planning.
Managing accounting aspects of bookings, including invoicing, pre-payments, and extras, with strong attention to detail.
Handling client comments, complaints, or queries promptly, coordinating corrective actions, and maintaining accurate records.
Supporting the planning and execution of the hotel's Wedding Fayres and open evenings.
What would make you the perfect fit?
At least 2 years' experience in a similar events-focused role, ideally within a hospitality environment.
You thrive in a fast-paced, dynamic event environment
You're organised, proactive, and ready to tackle challenges hands-on to ensure smooth event execution
You understand the crucial role of coordinating behind the scenes to support both the team and clients seamlessly
You bring a positive attitude, strong work ethic, and a commitment to excellence
Flexible and adaptable in both approach and working hours, ready to respond to changing priorities.
Proficient in using Opera, SmartSpace, CRM systems to manage bookings, client data, and event information efficiently.
