As the Events Coordinator & Advancing at Engine Rooms, you will be responsible for managing the details of our events from inception to execution. You will work closely with bands, agents, and managers to ensure all logistical aspects are meticulously planned and executed. Your keen interest in live music and events will shine through as you coordinate and enhance the experience for both artists and attendees.
Key Responsibilities:
- Coordinate and manage all details related to upcoming events, including scheduling, logistics, and event setup.
- Act as the primary point of contact for bands, agents, and managers, ensuring clear communication and understanding of event requirements.
- Efficiently manage and respond to emails and inquiries related to events, maintaining a professional and timely communication standard.
- Assist in advancing shows by gathering and disseminating crucial information, such as technical requirements, hospitality needs, and venue policies.
- Collaborate with internal teams, including marketing, production, and front-of-house staff, to ensure a cohesive approach to event planning and execution.
- Create and maintain event timelines and checklists to ensure all aspects of the event are covered and executed smoothly.
- Attend events to oversee operations, ensuring that everything runs according to plan and addressing any issues that may arise.
- Maintain accurate records of contracts, communication, and event details for future reference and reporting.
Qualifications:
- A strong passion for live music and events, with a keen understanding of the music industry.
- Previous experience in event coordination or a related field is preferred but not mandatory.
- Excellent organizational skills with the ability to manage multiple projects simultaneously.
- Strong written and verbal communication skills, with a focus on professionalism and efficiency.
- Ability to work well under pressure and adapt to fast-paced environments.
- Proficiency in using email and event management software, as well as standard office applications (e.g., Microsoft Office, Google Workspace).
