The Events Executive supports the planning and delivery of high-quality events for Consortium and its clients. They are responsible for coordinating logistics, managing timelines, and ensuring all event elements come together seamlessly. With 2-3 years of experience in events management, they bring creativity, attention to detail, and a proactive approach to every project. Working closely with Account Managers and senior team members, the Events Executive plays a key role in executing live and digital events that reflect the agency's standards of excellence and deliver measurable impact for clients.
Accountabilities
Event Delivery:
Support the successful delivery of events from concept to completion, ensuring projects run smoothly, on time, and within budget.
Client Support:
Provide professional, responsive communication with clients, ensuring confidence and clarity throughout the event process.
Operational Coordination:
Manage event logistics, supplier liaison, venue coordination, and scheduling.
Budget & Resource Management:
Monitor event budgets, track spend, and maintain commercial awareness of profitability.
Quality & Detail:
Uphold high standards across all event materials, communications, and on-site delivery.
Continuous Improvement:
Identify opportunities to improve processes, enhance attendee experience, and strengthen outcomes for future events.
Responsibilities
Assist in developing event concepts, plans, and timelines in line with client briefs and objectives.
Coordinate logistics including venues, suppliers, catering, AV, and delegate management.
Set up, manage and confidently host webinars and online forums from a technical standpoint.
Manage production schedules, checklists, and on-site documentation.
Support pre-event communication, registration, and guest management.
Liaise with suppliers and partners to secure the best value and ensure smooth execution.
Assist in event setup and on-site coordination, acting as a key point of contact for clients and vendors.
Track budgets, prepare cost reconciliations, and ensure accurate financial documentation.
Gather feedback and contribute to post-event reports and recommendations.
Collaborate with the marketing and account teams to align event communications and promotion.
Maintain up-to-date records in project management and CRM tools.
Skills & Competencies
2-3 years' experience in event coordination or management (agency, hospitality, or corporate environment).
Excellent organisational and time management skills, with strong attention to detail.
Strong technical knowledge working with Zoom and/or other webinar platforms.
Proactive mindset--anticipates challenges and takes initiative to resolve issues early.
Strong communication and stakeholder management skills, both written and verbal.
Calm under pressure with the ability to manage multiple projects simultaneously.
Confident working independently and as part of a cross-functional team.
Understanding of event logistics, supplier negotiation, and on-site operations.
Commercial awareness and basic budget management experience.
Proficiency with tools such as Google Workspace, Monday.com, and event management platforms.
Creative problem-solving approach with a focus on continuous improvement.
