Job Description


An experienced professional EA to the CEO is required for this membership body based within the financial services industry, in the heart of the City. Acting as gatekeeper and the point of contact for a range of clients and senior colleagues, you will build relationships.

As Executive Assistant, you will provide support to the Chief Executive. Working closely with the board and non-executive directors, being the essential conduit between the CEO, internal and external stakeholders. This is a varied role where you will also have the opportunity to be involved with project work and act as coordinator

  • Using judgement to identify which meetings can be used to accommodate calendar clashes and resolve efficiently
  • Proactively flagging emails using a priority method, working closely with Chief Executive
  • Providing full briefing documentation prior to meetings, thinking ahead to ensure Chief Executive is fully briefed
  • Working with meeting chairs to draft agendas, circulating to attendees, taking minutes of meeting on the day
  • Acting as continuous improvement advocate and support change in the way that we work, sometimes challenging the way that others work to be more effective
  • Reviewing and proof-reading papers and all documentation providing constructive feedback on improved presentational Responsible for ensuring others complete their papers on time
  • Sourcing options based on costs and achieve increased value add and effectively challenge all invoice and service discrepancies to ensure accurate payments in a professional and non-confrontational way
  • Confidently and articulately conveys ideas and information to different audiences
  • Operating at the highest level and understand the sensitivities of work underway
  • Planning and prioritising workload, proactively highlighting any issues or conflicts, and suggesting solutions
  • Aware of the business priorities for next year and who is responsible
  • Organising external events, contribute to the preparation of events by negotiating costs and ensuring that materials are on time and all stakeholders are effectively briefed (internally and externally)
  • Providing support in writing, preparing reports/notes/presentations
Skills required
  • Previous EA support at CEO level is desired or C-Suite
  • Experience of working with Board member and preparation of Board meetings
  • preferably have worked for a not for Profit or membership body
  • previous financial industry experince would be an asset
  • Ability to juggle priorities and be one step ahead
  • Excellent communication skills to build relationships with internal staff and clients
  • A natural organiser with the ability to forward plan
  • Preferably have project experience
  • Previous experience of orgnising events
  • Good MS Office Skills (Outlook/ MS Teams)
Start: Immediate

Duration: 6 months FTC poss plus

Location: City

Hybrid working: 2/3 days with flexibility.

Salary: \xc2\xa345,000 to \xc2\xa350,000
