Job Description

We're looking for a highly organised and proactive Executive Administrator to join us on a temporary maternity cover contract.





You'll play a vital role in keeping things running smoothly - providing high-level assistance for our executive leadership team and operational support for the agency, while also helping us attract and onboard top talent.





Working as part of the HR team, this is a fantastic opportunity to join a fast-paced creative environment where every day brings something new.




This is a 9month maternity cover role which can be based at one of our offices located in London, Leeds, Cardiff or Belfast. With a hybrid working pattern of 2 days in the office.





Role Responsibilities:





Executive and Operational Admin (80%)


Act as the first point of contact for office calls and enquiries Provide executive support to the leadership team including diary and inbox management, expenses, meeting coordination and logistics Full management of company travel for UK and international meetings and events, coordinating approval processes and working with the finance team to monitor budgets Assist with the planning and delivery of company events Maintain the agency's office locations, including supply replenishment and IT kit management

Recruitment Admin (20%)


Assisting with the end-to-end hiring process: scheduling interviews, liaising with candidates and managing feedback Creating & posting job adverts and maintaining our ATS records Supporting hiring managers with recruitment logistics Administration for the offer process, including seeking approval to offer and creation of the offer paperwork Helping to deliver a seamless and positive candidate experience Assisting with onboarding tasks and documentation

Experience Required:




The successful candidate must have permission to work in the role's location by the start of their employment. Proven experience as an Executive Administrator, Office Administrator, Recruitment Administrator, or similar support role -- ideally in a creative or digital environment Superb organisational skills and attention to detail Confident communication skills, both written and verbal Ability to juggle multiple priorities and stay calm under pressure A proactive mindset -- you anticipate needs before they arise Strong tech literacy: comfortable using Microsoft 365, mainly Teams, Outlook, sharepoint and applicant tracking systems (ATS)
