The Role:
As an Executive and Facilities Co-ordinator, your role will be supporting the Board, Senior Leadership Team and the HR function. This is a varied role that combines high-level administrative support, diary and travel management, facilities and office coordination, corporate event planning, and hands-on involvement in the implementation and maintenance of the Group's Corporate Governance Framework. You will ensure that meetings are well-organised, accurately documented, and that actions are followed through.
Key Responsibilities
Executive & Governance Support
Coordinate and support all governance-related meetings (e.g. Executive Committees, Sub-Forums, SLT), including scheduling, preparing agendas, distributing materials, minute-taking, and tracking actions to completion. Ensuring meetings are held in line with the Group's Corporate Governance calendar.
Maintain and update Terms of Reference for Executive Committee and Sub-Forums.
Keep accurate and secure records of governance documentation and related outputs.
Board & Senior Leadership support
Support the Board and SLT, by coordinating meetings, maintaining Terms of Reference, preparing agendas, collating and distributing supporting materials, taking accurate minutes, and ensuring timely tracking and closure of actions.
Organise and support Board meetings, away days, and internal leadership events.
Arrange meetings, travel, and accommodation on behalf of the Board and SLT members as required.
Collate reports, management information (MI), and presentations as required.
Ad-hoc support as requested
Office and Facilities Management
Manage day-to-day office operations and facilities management tasks including any office refurbishment requirements, ensuring the workplace remains safe, functional and well organised
Take responsibility for organising corporate events and staff entertainment functions, such as company celebrations, off-sites, and client hospitality
Plan and deliver staff engagement and reward events
HR & Administrative Support
Provide administrative support to the HR team, including coordination of staff initiatives, document management, and other ad-hoc tasks.
Qualifications (minimum):
Minimum of 12 months' experience in a similar Executive Assistant, Governance, or Office Management role.
Experience supporting governance frameworks and taking accurate minutes in a regulated environment.
Experience of completing office refurbishments
Qualifications (additional)
Strong organisational and time management skills, with the ability to prioritise effectively, manage conflicting demands, and meet tight deadlines.
Proficient in Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint.
Excellent communication skills, both written and verbal, with attention to detail and professionalism.
Ability to work independently with minimal supervision, using sound judgment and initiative.
Flexible, adaptable, and comfortable handling a variety of tasks and responsibilities.
Demonstrates integrity, discretion, and a strong understanding of confidentiality and sensitive information handling.
