A highly successful and internationally renowned literary agency with a prestigious portfolio of award-winning clientele have a rare opportunity for an Executive Assistant (EA) to join their collaborative and supportive team in a fast-paced and varied role. The company offer a competitive salary, excellent benefits and hybrid working (requiring 3 days per week in the London office).

Reporting directly to the CEO, COO and Finance Director your main remit as Executive Assistant will be to provide administrative and business support to the Directors, ensuring the smooth running of operations and enabling the ongoing success of the talented team. In this varied and vibrant role, amongst other responsibilities, you will efficiently handle all correspondence on behalf of the CEO and COO, including handling sensitive information, managing their inboxes, preparing presentations and reports, composing and proofreading correspondence, managing travel, and coordinating their entire schedule. Alongside supporting the Directors, you will carry out other pivotal tasks related to office management and team, administrative and operational support, including (but not limited to): working with IT to maintain up-to-date and fit-for-purpose IT equipment, review and optimize office administrative procedures, compile the weekly office meeting agenda and take minutes, assist with the onboarding process for new employees, process supplier invoices, and manage the "finance" email inbox. You will also handle author payments and any related queries, and organize and oversee agency meetings and events, including scheduling book launches and annual staff events.

The ideal Executive Assistant will have a proven track record of thriving in a busy office environment and possess extensive experience in diary and inbox management. The ability to juggle multiple projects and prioritise effectively is essential, along with proficiency in Microsoft Office tools. Strong interpersonal and communication skills and exceptional attention to detail are necessary to excel in this role. The successful candidate should be proactive and capable of working independently, and possess good problem-solving skills.
