Requirements

Purpose of the Role:

This role is primarily responsible for providing Executive Assistant support to the CEO, Director of Policy and Regulatory and Chief Commercial Officer, providing day-to-day administrative support including diary management, travel coordination, client liaison and event management. In addition, the Executive Assistant will also be responsible for providing ad hoc support to our senior leadership team, managing the office operations in our London office.

Principal Responsibilities:

Core Executive Assistant Duties:

  • Effectively and proactively managing the diaries for the CEO, Chief Policy and Regulatory Officer and Chief Commercial Officer, ensuring a smooth running of the working day and that each is prepared for any meetings.
  • Managing the email inboxes for the CEO, Chief Policy and Regulatory Officer and Chief Commercial Officer
  • Managing the CEO\xe2\x80\x99s LinkedIn and Twitter accounts
  • Liaising with the CEO\xe2\x80\x99s personal/home PA as required
  • Producing documents, briefing papers, agendas, minutes, reports
  • Undertaking research and leading or supporting on ad hoc projects
  • Coordinating any travel arrangements for the CEO, Chief Policy and Regulatory Officer and Chief Commercial Officer, including flights and accommodation and travel itineraries
  • Coordinating internal and external company events
  • Acting as a delegated point of contact for clients, suppliers, team members, and responding to queries, resolving issues or escalating as appropriate
  • Ad hoc administrative assistance to other members of the Senior Leadership Team when necessary
  • Office Management Duties:
  • Coordinating office operations and procedures to ensure a smooth day to day business
  • Overseeing and ensuring compliance with all health and safety requirements for the office
  • Supporting the employee onboarding and offboarding process as it relates to office access and use
Knowledge, Skills, Qualifications and Experience:
  • Experience working as an Executive Assistant to C-Suite leadership in a busy and dynamic business
  • Excellent time management and organisational skills
  • Impeccable attention to detail
  • Able to communicate openly, transparently and effectively at all levels
  • Ability to work with tact and diplomacy and react sensitively and with complete discretion when dealing with complex, sensitive or confidential information
  • Ability to manage own workload with minimal supervision, to tight deadlines and against a background of change and uncertainty
  • Experience managing projects through to completion
  • Collaborative team player, with ability to think outside the box
  • Professional and positive approach with a great attitude
  • Able to work to tight deadlines and manage multiple priorities and projects effectively
  • Experience using Gmail and GSuite beneficial
  • Happy to work from the office 4 days / week
