Broadridge are looking for an experienced Executive Assistant (EA) who will support a team of Senior Leaders.

The role requires a professional and reliable individual to provide high level administrative assistance to the executives and their teams, with other ad hoc support as required.

This is a hybrid role so you have the flexibility of working from home, and working from our Canary Wharf office.

Job Responsibilities:

  • Extensive diary management \xe2\x80\x93there will extensive international travel and extensive conference calls across various time zones which require careful management.
  • Arrange client meetings on behalf of team.
  • Travel and accommodation arrangements, production of itineraries for team.
  • Preparation and submission of expenses.
  • Preparation for management meetings, ensuring dial in and WebEx available and on-time start to meetings.
  • Preparation of presentations, proposals and reports.
  • Compose correspondence, letters, and emails.
  • Call screening.
  • Liaison as necessary with other EAs across the division and Group as well as external assistants/clients; covering within the EA team as needed.
  • Taking care of, processing and submitting invoices and purchase orders, couriers etc.
  • Undertaking projects and research as the need arises including liaison with Business Support for facilities issues as needed.
  • Daily admin tasks such as scanning, binding, photocopying and filing.
Skills/Competencies:
  • Experience supporting executive leaders.
  • Excellent interpersonal skills \xe2\x80\x93 builds positive relationships within the team and across divisional boundaries. Develop relationships with EA / PA\'s
  • Ability to handle workload and prioritise activities accordingly.
  • Works well under pressure, detail orientated, strong multi-tasking and proactive approach.
  • Shows initiative, resilience and judgement in the performance of a variety of tasks.
  • Handles sensitive information with appropriate discretion.
  • Highly organised with excellent time management skills.
  • Microsoft Office skills required.
