The
Executive Assistant
is an important position to the business, in particular the Chief Operating Officer (COO). The successful candidate will work proactively to support the COO with the day to day running of the leadership function. This includes providing professional and confidential administrative support to the COO in a fast-paced dynamic environment.
Key Responsibilities:
Provide comprehensive administration support to the COO.
Anticipating and proactively managing actions / priorities and pursuing the COO's direct reports ensuring commitments are delivered upon.
Plan and organise weekly and monthly meetings including leadership meetings, town halls, conferences and external functions. Manage budgets, facilities, 3rd party support and all other arrangements as necessary.
Liaising with the Company Secretary to ensure company files are maintained and all paperwork is up to date and in compliance (when required).
Liaising and collaborating with Internal Comms teams to support the COO's internal communications strategy.
Prepare and circulate meeting agendas, coordinate papers and presentations in advance with designated meeting chair, and ensure invited parties join the meetings as required.
Ensure that action points allocated in meetings attended by the Executive team are followed up and appropriately tracked.
Complex diary management, prioritising access and acting as a control point for unsolicited requests for meetings.
Arrange international travel itineraries and book flights, hotel, car transfers and visas as required.
Produce letters, reports, presentations and e-mails as required. These will either be created on your own initiative or templates will be provided for adaptation.
Qualifications
Proven experience in executive support or a similar role.
Strong organisational and time-management skills.
Ability to handle confidential information with discretion.
Excellent communication and interpersonal skills.
Proficiency in office software and travel arrangements.
