This is a fantastic opportunity to make a real impact as we continue to scale and evolve as a leader in the Fintech space in Europe. You'll work closely with other key stakeholders, including the Chief People Officer (CPO), and Chief Credit and Analytics Officer (CCAO), and other members of the leadership team, to ensure smooth operations. The role will be based at our office in London by Blackfriars, so you will need to be an on-site presence, helping to foster a collaborative and productive environment.
Your Mission:
Provide high-level administrative support to the C-Suite, including diary management across different time zones, Board prep materials, email correspondence, national and international travel arrangements, and meeting coordination.
Anticipate their needs, helping to prioritize workloads and ensure effective time management.
Design and implement processes and systems that simplify workflows and optimize daily operations for various members of the C-Suite.
Identify opportunities for streamlining tasks and reducing inefficiencies, allowing both executives to focus on key business initiatives.
Develop a strong working relationship with the C-Suite, understanding their work styles, priorities, and communication preferences.
Act as the key point of contact for internal and external stakeholders, managing communications and requests with professionalism and discretion.
Coordinate with the Office Manager to ensure smooth day-to-day operations once in the new office.
Work closely with other members of the administrative staff and other leadership members to ensure alignment and facilitate collaboration across the executive team.
Coordinate and support executive meetings, ensuring agendas, materials, and action items are prepared and tracked.
Provide support for key projects and initiatives led by members of the C-Suite, ensuring deadlines are met and deliverables are on track.
Manage ad-hoc requests and projects that require coordination across teams and departments.
Your Story
Extensive experience as an Executive Assistant, ideally supporting C-suite executives in a fast-paced, dynamic environment.
Must be available to work in the office at least 4 days of the week (preferably 5) and adapt to the fast-paced nature of the role. Willingness to occasionally work outside of regular business hours to accommodate urgent requests or international meetings is strongly encouraged.
Proficiency in Slack and the Outlook/Office365 Suite is essential for managing schedules, emails, and tasks efficiently. Familiarity with other productivity tools and software platforms is advantageous.
Strong interpersonal skills and the ability to communicate confidently with individuals at all levels of the organization and external partners.
Excellent verbal and written communication skills are necessary for effective correspondence with internal and external stakeholders. Ability to convey complex information clearly and concisely, with attention to detail and accuracy.
Strong organizational skills are paramount for multitasking and prioritizing tasks effectively. Ability to maintain composure under pressure, manage competing priorities, and meet deadlines consistently.
Maintain a polished and professional appearance, demonstrating a high level of professionalism in all interactions.
Ability to anticipate and address challenges proactively, finding solutions to ensure smooth operations. Resourcefulness and adaptability are essential for navigating unexpected situations and resolving issues efficiently.
