About the role:



Walr is seeking a proactive and highly organized Executive Assistant to support our Executive Team

-

CEO, CFO, CCO, and COO.




This role is perfect for someone who thrives in a dynamic environment, anticipates needs before they arise, and takes pride in creating structure amidst a fast-paced day. If you're driven by efficiency, precision, and a genuine passion for supporting senior leaders, we'd love to meet you.




This role is based on UK working hours, but occasional flexibility in the evenings may be needed to support collaboration with our U.S. team.







Key responsibilities:



Executive Support & Communication




Serve as the primary point of contact for all incoming communications. Draft, review, and manage emails, reports, and presentation materials. Coordinate board meetings, including agendas, minutes, and follow-ups. Ensure timely communication and prioritize critical issues for executive attention. Support event preparation, including interviews, panels, and public appearances


Calendar & Schedule Management




Manage complex calendars, scheduling meetings, appointments, and events. Anticipate and resolve conflicts to maximize executive productivity. Provide timely reminders and ensure preparedness for all engagements.


Travel Coordination




Organize all aspects of travel: flights, accommodations, transportation, and itineraries (business and personal). Ensure seamless logistics aligned with executive preferences.


Expenses & Budget




Prepare and process expense reports and reimbursements. Ensure adherence to financial policies and procedures. Collaborate with finance teams to track budgets and expenditures.




Desired

Experience supporting C-level executives Calendar and schedule management in fast-paced, multi-time zone environments International travel planning and logistics Expense and budget management Board-level coordination including preparing agendas, minutes, and follow-ups Writing and communication experience (emails, reports, presentations) Event planning or coordination (internal meetings, interviews, public events) Experience working in both a hybrid and remote environment, across the UK and US time zones Previous experience in a tech start-up/scale-up environment, preferred
