The Role



We are seeking an Executive Assistant : Operations & Finance who keeps our commercial operations running smoothly: sales order processing, expenses, basic bookkeeping, purchasing, office management, logistics support, and general ad hoc duties. Experience isn't required (but of course is welcome); bring a numerate, logical mindset, strong organisation, and attention to detail.

Key Responsibilities:



Provide essential support to the Director and senior managers, ensuring efficient administration and effective day-to-day operations.

Coordinate office management tasks, maintaining an organised, welcoming, and productive working environment.

Oversee financial and operational administration tasks, including budgeting, financial reporting, and liaison with external accountants.

Assist with HR administration, including recruitment coordination, onboarding new hires, and record maintenance.

Plan and organise internal team events, fostering team cohesion and a vibrant company culture.

Sales orders: enter and acknowledge orders; check pricing and taxes; issue proformas and invoices; prepare packing lists; coordinate pick/pack/ship with warehouses in the UK, Netherlands and US; track deliveries and returns; keep customers informed.

Purchasing: raise purchase orders; chase confirmations and delivery dates; match supplier invoices to purchase orders and goods received; help prepare payment runs.

Finance admin: collect and code expenses; reconcile bank and card transactions; keep records tidy; support simple month?end checklists; liaise with external accountants on VAT returns and year?end requests.

Logistics support: book and track shipments; coordinate with warehouses and carriers; prepare shipping documents (commercial invoices, packing lists); help with customs paperwork; manage returns and serial?number records.

General ad hoc duties: practical help across operations and finance as required to keep the team moving.

Job Types: Full-time, Permanent

Pay: 28,000.00-38,000.00 per year
