Job Description

We are on the lookout for an experienced Executive Assistant to join us and make a meaningful impact by supporting our Chief Technology Officer (CTO) in driving the organisation's success.

Key Responsibilities:



Calendar Management: Efficiently manage and organise the CTO's schedule, including appointments, meetings, and events to ensure effective time utilisation. Meeting Coordination: Arrange and prepare for meetings by gathering necessary documents, coordinating conference calls, and managing logistics. Attend meetings (travel may be required) with the CTO to take actions and minutes as required and ensure follow-ups and cascade of information to the tech team. Communication: Draft, review, and send correspondence on behalf of the CTO with clarity and professionalism. Travel Arrangements: Plan and coordinate travel, including booking flights, accommodation, and preparing detailed itineraries. Provide support as required to the CTO's direct reports. Coordinate cross-departmental communications and ensure alignment with the CTO's objectives. Assist in preparing materials for meetings, leadership updates, and external stakeholders. Support with projects as and when required. Expense Management: Monitor, track, and process expense reports in a timely and accurate manner. Stakeholder Engagement: Act as the point of contact for the CTO, building and maintaining strong relationships with both internal and external stakeholders. Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism. Support the CTO with any other duties as required.

Qualifications:



Proven experience as an Executive Assistant, Personal Assistant (within the tech environment), or in a similar role. Exceptional organisational and time-management skills. Excellent written and verbal communication skills in English. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to prioritise and multitask effectively in a fast-paced environment. High level of discretion, integrity, and professionalism. Bachelor's degree is preferred but not mandatory. Flexibility to travel on short notice as required. Understanding of the tech department is preferred.
