Executive Assistant
to support our Production Director and wider team from our Rochester warehouse.
Key Responsibilities
Executive & Administrative Support
Manage calendar, travel arrangements, inbox, and daily priorities for the Production Director
Attend meetings (on-site and virtual), take detailed notes, and track actions
Handle confidential information with professionalism and discretion
Act as a first point of contact, helping to manage priorities and communications
Production Support
Assist with creation and organisation of production schedules, risk assessments, method statements, and health & safety files
Maintain and update central production resources: crew contacts, kit lists, permits, venue info, and templates
Track timelines and deadlines, ensuring the Production Director stays on schedule
Liaise with internal departments (logistics, ops, scenic) and external stakeholders (venues, suppliers, freelancers)
Office & HR Coordination
Be a consistent onsite presence in our Rochester warehouse, acting as a central point of contact
Support general office upkeep and administration
Track employee details and assist with HR documentation
Order office supplies, uniforms, tech setups, and furniture
Oversee practical needs of the office, ensuring a well-run and productive workspace
Onsite Event Support
Provide assistance with live event logistics and production coordination as required
Support pre-production planning and onsite delivery during peak event periods
About You
We're looking for someone who is:
Highly organised with strong attention to detail
Proactive and confident managing multiple tasks
A clear communicator, comfortable working across teams
Experienced in admin, executive support or event coordination (event production knowledge is a bonus)
Calm under pressure with a hands-on, solutions-focused approach
A team player, with a positive and approachable attitude
Requirements
Minimum 2 years' experience in an Executive Assistant, PA, or Admin/Coordinator role
Excellent working knowledge of Microsoft Office / Google Workspace
Strong written and verbal communication
Full UK driving licence preferred (not essential)
