We are looking for a proactive, detail-driven Executive Assistant to support a Founder/Director running a growing business. This role blends classic EA responsibilities with a wide range of operational and strategic tasks that help the business succeed. You will help the Director stay organised, informed, and effective--while also contributing insights, managing priorities, and communicating with internal and external stakeholders.
This is not a corporate role. We are a small unglamourous business trading agro-commodities and food products across the UK and West Africa. But we are building something great. You will work closely with the founder, the ideal candidate can create order and structure where none exists.
Key Responsibilities Executive Support
Manage diary, tasks, and priorities
Prepare meeting agendas, briefing packs, and research notes
Manage the Director's inbox and messages, and draft professional correspondence
Track follow-ups and ensure actions are delivered on time
Prepare, review, and refine presentations and documents
Operations & Workflow Management
Manage key documents, contracts, project trackers, and filing systems
Support coordination between internal teams and external partners
Market Research & Analysis
Conduct ad-hoc research for new opportunities, competition, and strategic initiatives
Gather and interpret data from industry sources, reports, and online tools
Provide basic data analysis to support decisions (tables, insights, trend summaries)
Prepare short briefing notes, summaries, and recommendations
Communication & Stakeholder Management
Act as a primary point of contact for external partners, clients, and suppliers
Communicate professionally and confidently on behalf of the Director
Travel & Personal Support
Book travel, accommodation, and other logistics (business and light personal)
Attend meetings, events, or offsite locations when required
Support the Founder with personal scheduling and occasional errands with discretion
What We're Looking For
3-7+ years' experience supporting a founder, CEO, or senior executive
Strong organisational skills and ability to manage multiple priorities
Excellent written and verbal communication
Comfortable conducting research and presenting clear, concise findings
Basic data analysis skills using spreadsheets or simple tools
Tech-savvy: Google Workspace, project management tools, CRM systems, Notion/Asana
Professional, discreet, proactive, and solutions-oriented
Nice-to-Have
Ability to build simple dashboards or data visualisations
Interest in food, agriculture, and/or agro-commodity markets
Lived, studied, or worked in West Africa
About the Hiring Timeline
