A part-time, remote-based role suitable for applicants who have a minimum of 5 years' experience in an EA/ VA role. This is a role for a multi-lingual candidate with English and Italian at C1/C2 level language proficiency.



The role:

This is an exciting opportunity for a

tech savvy individual with at least 5 years of proven, demonstrable experience in an Executive Assistant role with a full home office set up for working remotely.



The role is to support Founders of a well-established and fast-growing company where no two days are the same. It is an ideal role for a highly organised individual who wishes to add value by being a reliable source of daily support for busy executives. The role is ideal for an individual who is a fast learner has worked in a similar role up until recently.

Business English plus Business Italian language skills are essential for this role.

This dynamic EA role is for someone who thrives on juggling several assignments at a time and has great time management and organisational skills. You will be confident in your written and verbal communication skills using Business English and Business Italian and will have proven ability in producing well-formatted and articulated email responses, Powerpoint slide decks, Word documents and basic Excel spreadsheets.

Responsibilities:



- Provide full and detailed administrative support to two Founders

- Manage and maintain the diaries, including frequent travel scheduling, booking flights, coordinating meetings, appointments, and booking personal holidays and appointments

- Managing annual company summer and Xmas parties

- Prepare and edit correspondence, communications, Powerpoint presentations, and other documents

- Manage travel budgets, expenses

- Conduct research, compile data, and prepare reports

- Handle confidential information with discretion and maintain strict confidentiality

- Coordinate and prioritize multiple tasks and projects simultaneously

- Act as a liaison between the Founders and internal/external stakeholders

- Assist with special projects and initiatives as assigned

- Manage any communication with service providers with regarding to Founders' home maintenance

Experience and skills required for this role :



- Proven experience as an executive assistant or similar role supporting senior-level executives in recent career

- Excellent phone etiquette and professional communication skills in both English and Italian

- High proficiency in written communication with excellent attention to detail in both English and in Italian

- Highly experienced and current user of Microsoft Office 365 Suite (Word, Excel, PowerPoint, Sharepoint, Teams, OneDrive)

- strong tech skills in Canva or InDesign Pro

- strong skills in carrying out an initial screening of job applicants based on criteria and guidance provided

- strong skills in travel management with experience in managing attendance at conferences where there is a need to plan meetings and travel times in global destinations

- ad hoc personal PA work including holiday planning, medical appointments, attendance of home servicing staff etc

-skills in website CMS- specifically Wordpress

- Social media management - specifically LinkedIn posts

- Strong organisational and time management skills

- Ability to handle sensitive information with confidentiality

- Exceptional problem-solving skills and ability to work independently
