From January 2026, Jefferis Engineering Ltd enters an exciting phase of innovation and growth -- and we're looking for a high-calibre Executive Assistant to play a central role in that journey.
This is not a traditional PA or office admin role.
It's a group-level Executive Assistant position working directly with the Group Managing Director, designed to increase execution, accountability, and momentum across the business.
About the Role
The purpose of this role is simple but powerful: multiply the effectiveness of the Group Managing Director.
You will act as the MD's second brain, coordination hub, and follow-through engine, ensuring decisions turn into actions and priorities move forward without friction.
This role exists to help the business operate faster, sharper, and with greater clarity.
What You'll Be Responsible For1. MD Execution & Follow-Through (Primary Focus)
Track all MD decisions, actions, and commitments
Proactively chase senior leaders on deadlines and deliverables
Surface risks, blockers, missed deadlines, and slippage
Provide concise weekly updates to the MD:
What moved
What didn't
Where intervention is needed
2. Leadership & Team Coordination
Act as the MD's interface with:
Workshop leadership
Project leadership
Recruitment teams
Attend selected internal meetings on behalf of the MD
Ensure meeting actions are logged, assigned, followed up, and closed
3. Hiring, Recruitment & Training Oversight
Coordinate between the MD, recruiter, and hiring managers
Manage interview scheduling and logistics
Track hiring pipelines and upcoming decisions
Support onboarding and training by:
Tracking start dates and inductions
Scheduling training and check-ins
Following up outstanding actions
4. Priority & Time Management
Own and structure the MD's diary and priorities
Filter requests before they reach the MD
Challenge low-value use of MD time
Prepare the MD for meetings with context, objectives, and required decisions
5. Communication & Information Flow
Draft and manage internal communications on behalf of the MD
Ensure the right information reaches the MD at the right time
Maintain clarity across the business on priorities, direction, and expectations
6. MD Personal Brand & LinkedIn Support
Draft and schedule LinkedIn posts for the MD
Capture business wins and key themes
Ensure consistent posting without MD involvement
