This is a
high-trust, hands-on role
supporting the Managing Director with day-to-day coordination across customers, suppliers, and internal teams. It suits someone who enjoys responsibility, variety, and being close to the heart of how a business runs.
You will not be micromanaged. You will be trusted to
take ownership, follow things through, and keep work moving
in a fast-paced environment.
What You'll Be Doing
You will act as the Managing Director's right hand, helping ensure nothing gets missed and priorities stay on track.
Core Responsibilities
Executive & Communication Support
Manage and prioritise the MD's inbox
Respond to emails on behalf of the MD where appropriate
Act as a key communication link between the MD and internal teams (Sales, Admin, Marketing, Warehouse)
Handle confidential information with discretion
Quoting & Supplier Coordination
Prepare customer quotes using internal pricing tools
Liaise with UK and international suppliers for pricing, production details, and deliveries
Support Sales with costings and supplier communication
Order & Task Follow-Through
Track offshore orders from placement to delivery
Raise and update purchase orders and supplier records
Proactively chase progress and flag issues early
Task & Project Coordination (important)
Track tasks and actions arising from emails, meetings, and ongoing work
Maintain task and project boards (e.g. Monday.com)
Follow up with stakeholders to ensure deadlines are met
Spot gaps, loose ends, and risks before they become problems
Reporting & Business Support
Update weekly metrics and reports
Keep shared folders, trackers, and records organised
Support recruitment admin, meeting organisation, and note-taking
Help improve processes and ways of working as the business grows

Essential Experience & Skills
Minimum 2 years' experience working in an office environment, ideally as an Executive Assistant, Business Support Executive, Office Manager, or Operations Administrator.
Strong written and verbal communication skills
Confident using Excel and Office 365 or Google Workspace
Experience dealing with suppliers, quotes, or order processing
Able to juggle multiple priorities calmly and professionally
High attention to detail and strong sense of responsibility
