Role Overview



This is a hybrid role combining

Executive Personal Assistant

duties with

Office Management

responsibilities. You'll work closely with the CEO and COO, providing critical administrative, scheduling, and project support, while ensuring that the head office runs smoothly, efficiently, and professionally.

Key Responsibilities



Executive Support (PA)



Manage calendars for the CEO Coordinate meetings, prepare agendas, take minutes, and follow up on action points. Draft and manage correspondence, reports, and executive communications. Organise event logistics. Handle confidential documents and information with discretion.

Office Management



Oversee day-to-day office operations: supplies, equipment, cleanliness, maintenance. Serve as the go-to person for office-related queries, maintenance, and third-party vendors. Implement and maintain office systems and processes (filing, inventory, IT access, etc.). Manage petty cash, invoice approvals, and minor procurement for office and staff needs. Liaise with department heads to support onboarding logistics (desk setup, keys, etc.).

Internal Comms & Coordination



Facilitate internal communications across the leadership team and staff. Organise team events, staff meetings, and internal workshops. Support internal reporting, reminders, and cross-department updates on behalf of execs.

Special Projects



Assist in ad hoc research, process improvements, or executive initiatives. Coordinate small project rollouts or internal task forces (e.g. CRM updates, audits, policy rollouts). Support in maintaining confidentiality and execution of decisions across the executive office.

Skills & Qualifications



Experience



3+ years in an Executive Assistant, Office Manager, or hybrid role. Experience in a fast-paced environment, ideally in automotive, logistics, fleet, or SME operations.

Core Competencies



Excellent organisational and multitasking skills. High-level written and verbal communication skills. Advanced use of Microsoft Office, Google Workspace, and task/project tools like Clickup Ability to work independently and with initiative. High level of integrity and confidentiality.

What Success Looks Like



CEO and COO operate with greater efficiency, focus, and reduced admin burden. Office functions without friction, delays, or missed handoffs. Clear, proactive communication across staff and leadership. Staff feel supported and equipped to work productively.

Working Hours



Monday to Friday, 9am-5:30pm (with some flexibility) On-site presence required Occasional out-of-hours coordination or travel support during events or travel
