Role Purpose



We are seeking a highly organised and proactive Executive Personal Assistant to provide a comprehensive, efficient, and effective PA service to the Director within the Children's Service. The successful candidate will manage diaries, arrange meetings, handle correspondence, and ensure the Director is fully briefed and supported.

Key Responsibilities



Provide efficient and effective PA support including diary management, arranging appointments, and managing correspondence. Ensure the Director receives all relevant briefing materials and maintains a brought-forward file for meetings. Monitor and ensure timely, high-quality responses to enquiries, complaints, and Freedom of Information requests. Log and allocate complaints, Members' Enquiries, and FOI requests appropriately. Serve as the first point of contact for direct reports, elected Members, schools, and other stakeholders, responding proactively and professionally. Conduct research, analysis, and information gathering to highlight priority issues for the Corporate Director or Directors. Coordinate projects and initiatives delegated by the Corporate Director or Directors, including organising meetings, preparing agendas, and taking minutes. Collaborate with the Director's Support Team to support the Directorate Management Team and provide cover as required. Represent the Corporate Director(s) to external callers and visitors, managing access and screening appointments. Maintain and develop office filing and information systems, leveraging Microsoft Office tools such as spreadsheets and databases. Undertake additional duties as requested by the Corporate Director or Directors within the scope of the role.

Knowledge, Qualifications, Skills & Experience



Essential



High standard of literacy and numeracy Minimum two years experience working in a public sector organisation Experience of effective team working and developing excellent working relationships with teams, individuals, and organisations to achieve positive outcomes Experience of using IT applications, including word processing, spreadsheets, and databases Ability to be diplomatic, flexible, and politically sensitive

Desirable



Relevant graduate degree or equivalent experience Experience of encouraging change and implementing new policies/procedures Experience of working on complex projects with competing demands and changing priorities, with minimal supervision Experience of collating and evaluating monitoring information Experience of carrying out research and presenting findings in a clear, accessible, and relevant way
