Job Overview


We are seeking an experienced

Commercial Property Legal Secretary

to provide secretarial and administrative support to our Commercial Property team. The ideal candidate will have

at least two years of recent experience

in a commercial property environment, excellent organisational skills, and a strong understanding of property transactions and legal documentation.

Key Responsibilities



Provide full secretarial and administrative support to fee earners in the Commercial Property department. Prepare, format, and proofread correspondence, contracts, leases, and other legal documents. Manage diaries, schedule appointments, and coordinate meetings. Open, maintain, and close client files (both electronic and paper-based). Conduct property searches and liaise with clients, solicitors, agents, and Land Registry. Handle completion statements, SDLT submissions, and Land Registry applications. Process invoices, maintain accurate billing records, and monitor financial transactions. Ensure compliance with firm procedures, SRA regulations, and data protection requirements. Manage incoming and outgoing mail, emails, and telephone calls promptly and professionally. Provide general administrative support including photocopying, scanning, and filing.

Skills and Experience Required



Minimum of 2 years' experience as a Legal Secretary or Legal Assistant in a Commercial Property department. Strong knowledge of property documentation, forms, and conveyancing procedures. Proficient in Microsoft Office and case management systems (e.g., LEAP, Osprey, or similar). Excellent attention to detail and high accuracy in document preparation. Strong organisational and time management skills, with the ability to prioritise effectively. Excellent written and verbal communication skills. Discreet, professional, and able to handle confidential information appropriately. Ability to work both independently and collaboratively as part of a team.

Desirable Attributes



Experience supporting multiple fee earners. Familiarity with commercial leases, acquisitions, disposals, and property finance transactions. Knowledge of SDLT and Land Registry online portals.
